About the role

We are seeking an experienced Sr. Administrative Coordinator to work in a dynamic, fast-paced team environment for The Cancer Genetics & Epigenetics program.  This position will assist and provide administrative support to multiple senior faculty and staff members. Will exercise independent judgment in the resolution of administrative problems. This position requires attention to detail, flexibility, excellent computer skills, a high level of independent thinking, and the ability to thrive in a fast-paced environment. In addition, the Sr. Administrative Coordinator will work closely with our administration and finance teams to carry out the administrative tasks necessary for smooth operation of grants and projects. The position is expected to maintain a high degree of professionalism and trust on the telephone, in person, on Zoom and via electronic communication. Must be able to prioritize and multitask based on changing needs and deadlines. Interprets operating policies of the University.


Specific Duties & Responsibilities

  • Manage multiple faculty calendars and prepare meeting/travel folders, assuring that all pertinent information is accurate.
  • Prepares agendas for meetings and takes minutes as needed. Writes and prepares correspondence, as well as proofread and edit confidential and sensitive information.
  • Assists with special event planning for the Program.
  • Coordinates and implements office services such as purchasing, records control, projects and budget accounting operations.
  • Maintains conflict free electronic calendars for faculty and their extended staff and coordinates meetings and travel.
  • Monthly reconciliation and monitoring of budgets and expenses.
  • Assists with preparation and submission of manuscripts, IRB/IACUC applications, MTA’s, FDA submissions, etc.
  • Maintains CV and biosketches for faculty members.
  • Works in SAP to enter travel reimbursements, on-line payment requests, and ordering of office and laboratory supplies.
  • Arranges US and international travel, creates itineraries and schedules meetings and prepares meeting materials (i.e., draft agenda, collect relevant information) and staffs high level meetings. Monitors and follows up on action items.
  • Handles non-employee travel reimbursement, contracts, catering, room reservations, advertising/publicity, AV support and other aspects, as needed.
  • Identifies & resolves administration problems and issues. Develops and recommends administrative processes/procedures to assure efficiency.
  • Provide general administrative support such as answering main office phone, sorting mail and deliveries, ordering office supplies and submit service tickets for facility issues, and copy machine.
  • Schedule conference calls.
  • Maintain and manage conference rooms in the office/lab area.
  • Maintains an organized filing system.
  • Works independently.
  • Determines priorities and maintains a high degree of professionalism.
  • Reconciles grant expenses to budget and communicates budgetary changes, such as payroll, to the appropriate people.
  • On a regular and continuous basis, exercises administrative judgment and assumes responsibility for decisions, consequences, and results having impact on people, costs, and/or quality of service within the functional area.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Five years progressively responsible administrative experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
