Role:

The Executive Administrative Assistant serves as a hub for the administrative office, Tribal Council and the organization. The role assists Executive Administration staff in a wide variety of day-to-day functions, including organizing documents, maintaining records, prioritizing, and responding to information requests, managing purchase orders and timekeeping functions, along with scheduling internal meetings, and attending to logistics and staffing for General Council meetings, and travel arrangements as needed. The Executive Administrative Assistant also provides direct supervision over 8 staff, which includes establishing work schedules, training, providing instruction and assignments.

Minimum Requirements:

Driving: Must have a valid Kansas driver's license free of occupational restrictions. Must be insurable with the Nation's insurance carrier.

Experience: 2+ years of similar or related experience. Prior experience with communication, task management, staff supervision, file/data management, policy development and implementation.

Education: AA degree in Business Administration, Communication, or related field.

Interpersonal Skills: The ability to motivate or influence others is a material part of the job, requiring a significant level of diplomacy and trust. Obtaining cooperation (internally and/or externally) is an important part of the job and a high level of interpersonal skills is critical to the success of this position. Work frequently involves contacts requiring considerable discussion of problems, material presentations, and resolving issues impacting departments or divisions.

Knowledge:

  • Administrative: Knowledge of administrative and office procedures and systems such as word processing, managing files and records, stenography, and transcription, designing forms, and workplace terminology.
  • English Language: Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Customer and Personal Service: Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Computers and Electronics: Knowledge of general office equipment including a computer, printer, copier, scanner, fax, telephone, telephone switchboard, cell phone and mail metering system.
  • Administration and Management: Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.
  • Tribal Knowledge: General knowledge of Indian tribes, specifically the Prairie Band Potawatomi Nation (general history, law, policies, procedures, community knowledge).

Skills:

  • Critical Thinking: Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
  • Computer Software Applications: At least intermediate level skill of Microsoft Suite and Adobe software, with the capacity to learn new software applications.
