About the Role

Wellington Management is seeking an Executive Assistant to provide dedicated support to investors within the firms Research Department. This role serves as a trusted administrative partner, working closely with investment professionals to navigate complex schedules, coordinate competing priorities, and ensure seamless execution across a wide range of business activities.

The Executive Assistant will play a critical role in supporting a fast-paced, highly dynamic environment, with significant responsibility for managing complex calendars, coordinating domestic and international travel, and orchestrating time-sensitive meetings and logistics. Success in this role requires the ability to anticipate needs, adapt quickly to changing priorities, and deliver thoughtful solutions with accuracy, discretion, and sound judgment.

Primary Responsibilities

The Executive Assistant will serve as a trusted administrative partner to investors within the Research Department, helping ensure priorities are executed efficiently and business activities run seamlessly. Responsibilities include, but are not limited to:

  • Provide proactive, high-quality administrative support to investment professionals, anticipating needs and helping manage competing priorities in a fast-paced environment.

  • Manage complex and highly active calendars, balancing shifting schedules, competing demands, and time-sensitive internal and external meeting requests with sound judgment and attention to detail.

  • Coordinate domestic and international travel, including detailed itineraries, accommodations, and last‑minute changes as needed.

  • Lead the planning and execution of meeting logistics, ensuring participants, materials, technology, and details are aligned for a seamless experience.

  • Prepare, process, and reconcile expense reports and other administrative documentation accurately and in accordance with firm policies.

  • Build strong working relationships with internal and external stakeholders, serving as a responsive, professional, and trusted point of contact.

  • Exercise discretion and judgment when handling confidential information, sensitive matters, and requests requiring thoughtful prioritization.

  • Provide cross‑coverage and backup support to other Executive Assistants as needed, contributing to a collaborative administrative team.

  • Support ad‑hoc projects and initiatives, demonstrating curiosity, a willingness to learn, and a proactive approach to taking on new responsibilities.

Qualifications

  • Minimum of 3 years’ experience within an administrative role in a professional services organization

  • Experience in the investment management industry will be viewed favorably

  • Exposure to global contexts, whether professionally and/or personally, will be viewed favorably

  • Advanced proficiency in MS Office with an ability and desire to learn new technology to drive efficiencies

  • Demonstrated strong detail orientation, diligence and overall high work quality

  • Excellent organizational, multi-tasking and prioritization abilities
