This is a remote position.

Schedule:

  • 40 hours per week
  • 9 AM to 5 PM, PST Monday to Friday

About Company:

We are a dedicated psychiatric clinic committed to providing compassionate and professional mental health services. We are looking for a detail-oriented and empathetic Medical Admin Assistant to support our administrative and patient care processes remotely.

Responsibilities:

  • Patient Communication: Answer phone calls, emails, and messages, schedule appointments, and send reminders.
  • Medical Records Management: Maintain and update electronic health records (EHR), ensuring accuracy and confidentiality.
  • Insurance and Billing Support: Verify insurance coverage, process billing and payments, and assist with claims.
  • Prescription Coordination: Assist with medication refill requests and communicate with pharmacies.
  • Clinical Documentation Support: Transcribe and organize clinical notes, ensuring proper documentation.
  • General Administrative Tasks: Handle data entry, maintain organized files, and provide administrative support to psychiatrists and mental health professionals.
  • Follow-Up and Patient Support: Check in with patients regarding follow-up appointments, treatment plans, and necessary paperwork.

Requirements


  • Previous experience as a Medical Virtual Assistant or in a healthcare-related administrative role (psychiatry or mental health experience is a plus).
  • Familiarity with EHR systems and HIPAA compliance.
  • Able to juggle 3-5 tasks at any given time.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Ability to handle sensitive patient information with confidentiality and professionalism.
  • Proficiency in Microsoft Office, Google Suite, and medical scheduling software.
  • Experience with medical billing, insurance verification, and prior authorizations is a plus.

Preferred Skills:

  • Knowledge of mental health terminology and psychiatric care processes.
  • Ability to provide compassionate patient support and assistance.
  • Tech-savvy with the ability to adapt to new software and systems quickly.
