Secretary – Academic Affairs (Dual Credit & Early College)

About the role

Provide administrative support to the Director of K-14 Initiatives: Dual Credit and Early College, the Assistant Director of Early College Programs, Assistant Director of Early College CTE Programs, and cursory support to Director K-14 Engagement and Transition (VCES) when applicable for dual enrollment activities. May also offer clerical support to Academic Affairs Department. Support dual credit and early college programing that offers stackable credentials resulting in an Ivy Tech credential prior to graduating high school.

Major Responsibilities

  • Knowledgeable about College’s academic degrees and pathways for K-12 high school/career center students
  • Research, track/monitor and report high school/career center student’s completion of a College credential: CT, TC, AS, AAS. (supporting Academic Affairs Dual Credit Completion metric)
  • Knowledgeable about DualEnroll platform including but not limited to the Student components but additionally the Dual Credit Teacher tasks (supporting Dual Credit Director and Program Chairs/Content Experts)
  • Research, track/monitor and report teacher’s status of assigned tasks (supporting Dual Credit Director and Program Chairs/Content Experts)
  • Perform secretarial duties of any combination utilizing knowledge and experience. 
  • Position is responsible to process, monitor, troubleshoot, and support the dual credit application, dual credit courses, course prerequisites, registration, dual credit withdraws, and overall student record related data processes.
  • Maintain academic records and research data by utilizing Admissions, Registrar and Assessment functions in Banner; MS Office software, Google Drive, Parchment, Knowledge Assessment (EdReady) and other software platforms in compliance with Ivy Tech Community College policy.
  • Provide high school and career center student support with research, as needed.
  • Generates reports in Newt, Banner, and Knowledge Assessment (EdReady).
  • Process and respond quickly, efficiently and thoroughly to a large variety of information requests in a positive and professional manner.
  • Provide good quality customer service, such as: greeting visitors, answering phone inquiries and responding to email inquiries in a timely, courteous, and professional manner. 
  • Develop and maintain appropriate relationships with external visitors, guests, students, school and career center partners and internal college staff, faculty, and college leadership. 
  • Correspond with area K-12 school and career center partners via email, phone, Zoom conferencing and face-to-face communication, as needed. 
  • Assist with planning, coordinating, and supporting Dual Credit, Early College meetings and events, including K-14 Engagement and Transition (Dual Enrollment) activities and events.
  • Responsible for standard office duties: sort, file, and scan records; perform mail merges; proofread and edit documents; sort and distribute mail and make necessary photocopies. 
  • Use Higher Markets to enter orders and track purchases.

Minimum Requirements:

High school diploma or HSE. Associate or higher degree with advanced administrative office training.
