Purpose

To provide general administrative and organizational support for English Department programs and initiatives.

Responsibilities

  • General assistance to chair and executive assistant - This includes providing back up to other staff, processing OOEFs, monitoring departmental ProCard, assisting with special projects, and primary responsibility for receptionist back up.

  • Travel coordination- Process VE5s, VE6s, VP5s, VTM document for faculty, staff and students. Staff support for departmental faculty travel committee.

  • Coordinate submission of deadline materials for department - Including annual reports, grades, Executive Committee materials, and CBS document for reimbursements and ProCard payments

  • Order departmental supplies and office equipment - Ensure proper purchasing procedures are followed. Keep track of in-office supplies and ordering to maintain inventory.

  • MFA program - Coordinate event planning and execution. Manage program budget. Update website periodically. Manage program communications. Manage book orders for students. Process scholarships. Annually train New Writers Project assistant directors and Bat City Review assistant editors when those positions turn over.

Required Qualifications

Bachelors degree. At least 3 years of clerical experience, including one year of experience at either the Administrative Assistant or the Administrative Associate level. Experience tracking expenses, keeping records organized and planning events. Detail oriented with excellent organizational and time-management skills. Ability to work efficiently and flexibly. Good professional demeanor. Excellent oral and written communication skills with proven ability to effectively communicate with all levels of management and respond to faculty and staff tactfully, clearly, and concisely. Demonstrated problem solving and critical thinking skills.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Experience with UT financial systems, accounting and contract procedures. Experience with travel, entertainment and other types of invoices and vouchering processes. Knowledgeable of the University's procurement and payment systems. Proficiency in Excel, PointPlus, FMRS, and DEFINE.

Salary Range

$53,000 + depending on qualifications
