What We’re Looking For

We‘re hiring a diligent and dedicated Executive Assistant to be a supportive force to the COO. The Executive Assistant serves as the point of contact between the COO’s office and key internal and external stakeholders both virtually and through email correspondence. This requires excellent communication skills, discretion, maturity, professionalism and sound judgment. The Executive Assistant will manage complex calendars, coordination of internal and external meetings, manage multiple email accounts and provide administrative support.

The ideal candidate for this position has experience managing confidential information with discretion and is a systems thinker who enjoys iterative work and wants to have input and an impact. The candidate is comfortable working behind the scenes, supporting the person in the spotlight, and takes pride in seeing the team excel. This opportunity will expose the right candidate to a full range of business development work and an opportunity to grow within the organization.

The candidate will have an opportunity to be trained by the current Executive Assistant who is moving into a new position within the Operations Team.

What You’ll Be Doing

  • General Responsibilities
    • Acting as gatekeeper, ensuring delegation to other staff members when needed, and involving the COO at the right time
    • Serving as the point of contact between the COO’s office and key internal and external stakeholders
    • Acting as a key thought partner, brainstorming and identifying solutions to challenges
    • Coordinating monthly and quarterly reporting within the Operations Team
  • Calendar Management
    • Supporting the COO in strategically aligning their time with organizational priorities
    • Efficiently managing the COO’s schedule, including scheduling meetings, appointments, and calls
  • Meeting Coordination
    • Planning meetings, developing agendas, organizing logistics, taking detailed minutes, and ensuring delegation of tasks and successful implementation of collective decisions
    • Ensuring timely communication and preparation of meeting materials
    • Booking COO’s transportation and accommodations when needed
  • Administrative Support
    • Drafting, editing and proofreading documents, reports and presentations as requested.
    • Conducting research on various business and operational related topics and synthesizing files in a report.
    • Completing monthly expense reconciliation reports on behalf of the Operations Team
    • Managing special projects as needed
    • Other administrative duties as assigned

Requirements

Skills + Experience

  • Five (5) or more years of experience providing strategic and administrative support to senior-level executives
  • Experience using a high degree of discretion
  • Strong organizational and time management skills
  • Strong communication, listening and influencing skills
  • High attention to detail and accuracy
  • Flexibility and adaptability in a fast paced environment
  • Self motivated, proactive, and able to work independently
  • Ability to prioritize actions to achieve alignment

This Would Put You Over The Top

  • Previous remote work experience with proven results
  • Understands that this work is in service of the organization and the people who do the work of the organization
  • Familiarity with Salesforce
  • Familiarity with G-Suite, Slack, Trello, and/or other online productivity tools
  • Notary certification
