About the role

Description

 The Senior Executive Assistant plays a critical role in supporting our high-level executives by managing administrative tasks, communications and providing strategic support to help executives focus on leadership duties. 


 

1. Executive Support:

  • Manage executives' calendars, appointments, and meetings.
  • Coordinate travel arrangements and itineraries.
  • Act as the point of contact between executives and internal/external stakeholders.
  • Prepare and organize presentations, reports, and documents for executive meetings.

2. Communication:

  • Handle executive-level correspondence and communications (emails, calls, letters).
  • Take and distribute minutes from executive meetings.
  • Draft, review, and send communications on behalf of executives.

3. Project Management:

  • Coordinate and manage key executive-led projects, ensuring deadlines are met.
  • Track action items and follow up with team members to ensure progress.

4. Administrative Support:

  • Maintain confidential records, documents, and information.
  • Organize and prioritize multiple tasks while maintaining attention to detail.
  • Handle office logistics such as ordering supplies and managing expenses.

5. Strategic Support:

  • Provide strategic input by helping with research, gathering data, and analyzing reports.
  • Attend high-level meetings with executives to take notes and provide actionable insights.
  • Assist in decision-making processes by providing timely and relevant information.

6. Event Coordination:

  • Plan, organize, and execute company events, conferences, or large meetings.
  • Work with vendors, venues, and other service providers to ensure smooth event operations.

Requirements

Qualifications:

  • Bachelor's degree in business administration or related field (preferred but not always required).
  • 5+ years of experience in executive support or a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other project management tools.
  • Strong communication and interpersonal skills.
  • Ability to multitask, prioritize, and work under pressure.

  • Excellent written and verbal communication.
  • Ability to handle sensitive and confidential information with discretion.
  • Problem-solving and analytical skills.
