Job Summary/Purpose
This position will coordinate all administrative functions and provide multifaceted administrative support to department management and staff. Responsibilities typically include scheduling appointments, coordinating incoming and outgoing mail, maintaining the calendar, making travel arrangements, arranging meetings, etc. Additional responsibilities will include producing a variety of management reports, metrics tracking, verifying and processing invoices, coordination of vendor set up, developing and/or participating in special projects, SharePoint sites updates, using the appropriate software for word processing, graphics and spreadsheets, etc., and other support activities as required.
Job Duties/Responsibilities
- Provide secretarial and administrative support to Director of Real Estate and Facilities and their direct reports.
- Manage calendar, schedule events, travel arrangements, departmental meetings, and arrange conference calls.
- Manage correspondence and routine documents and presentations given minimal direction.
- Prepare documents, spreadsheets, presentations, interoffice and external correspondence and copies.
- Manage administrative affairs of the department including invoice processing and vendor set up, purchasing office supplies, maintaining training records, etc. Handle multiple assignments with attention to detail, work within deadlines, and maintain confidentiality of departmental issues.
- Recordkeeper for files within the Director’s span of control. Maintain a well-organized and detailed filing system. Serve as Business Unit Records Coordinator and Compliance
- Coordinator for Real Estate and Facilities. Storm responsibilities include as needed support during storms.
- Be proactive in forwarding work issues to the appropriate managers/supervisors.
Minimum Requirements
Minimum education required of the position
Typically requires vocational training, apprenticeships or equivalent experience in related field (not typically required to have a four-year degree)
Minimum experience required of the position:
6-8 years
Minimum knowledge, skills, and abilities required of the position
- Must have typing ability.
- Must be proficient in MS office tools - Word, Excel and PowerPoint, etc.
- Requires good customer services experience. Requires the ability to maintain confidentiality.
Any certificates, licenses, etc. required of the position
Must be EEI SASS test recommended.

Working Conditions/Essential Functions/Physical Requirements
Office environment with minimal physical requirements. As a provider of essential services, Entergy expects its employees to be available to work additional hours, to work in alternate locations, and/or to perform additional duties in connection with storms, outages, emergencies, or other situations as deemed necessary by the company. Exempt employees may not be paid associated with such duties.
