About the role

Assistant Project Manager with healthcare experience to support the in-patient hospital portfolio. The assistant project manager is responsible for supporting the senior project manager in the oversight and coordination of all aspects of all sizes of inpatient hospital projects. The assistant project manager assists in defining and documenting project objectives, scope, and assists the senior project manager in project execution, construction management planning, design and procedures. The assistant project manager will assist the senior project manager to oversee and coordinate planning, design, bidding, budget and is expected to assist in leading the project successfully through construction, fit-up and close out. The assistant project manager will assist the senior project manager to ensure all metrics ("KPI") are documented and met – communicating all risks and deviations to upper management. The assistant project manager will assist the senior project manager to oversee vendors, consultants and contractors allocated to the project and will serve as an assistant advisor, subject matter expert and resource to project staff to resolve technical or operational projects. The assistant project manager will report to the senior project manager for Systems Design and Construction Planning Office and is accountable to meet the needs and priorities of the health systems strategy, planning and construction department.

Essential Duties:

  • Serves as assistant project manager responsible for assisting the senior project manager in overseeing and coordinating all aspects of construction projects. Assists in creating project objectives and work scope. Assists in creating and implementing project execution and construction management plans and procedures, and communication and risk mitigation plans. Assists in developing project reports required to keep all relevant parties informed on status of time and cost elements of project.
  • Assists in the overview and coordination of planning, design, design phase estimating and monitoring of construction by the architect/engineers of project to ensure its delivery in accordance with construction contract and university requirements and standards. Collaborates with design and construction professionals from various disciplines to ensure successful integration of design and construction and development of drawings and specifications that ensure successful delivery of project within budget and on time.
  • Assists in establishing schedule that meets client’s needs. Assists in monitoring and controlling schedule throughout project delivery cycle to ensure that project is delivered within client’s time expectations.
  • Assists in collaboration with client and city officials to facilitate timely and effective participation in the project.
  • Assists in oversight of project team members, consultants and contractors allocated to project. Assists in identifying potential problems and resolution of all project issues in a time effective manner
  • Project Scope Definition and Management: Contribute to the development of program or project scope statements, in consultation with Construction Director and applicable stakeholders. Ensure alignment and understanding of program / project scope and objectives with the organization's strategic objectives in consultation with Design standards and applicable stakeholders. Raise awareness of any misalignment or misunderstanding of project scope and objectives with design standards, approved project charter and applicable stakeholders. Ensure that all impacted areas are identified, and that appropriate resources are engaged to participate in the scope definition process. Ensure that project scope, requirements and approvals comply with current governance guidelines and methodology. Monitor scope requirements and identify scope-related gaps and issues. Ensure that all project dependencies/linkages are identified. Obtain agreement on project scope from strategy, planning, construction office and applicable stakeholders, and ensures that requirements signoff is obtained. Ensure that all project deliverables and success criteria are identified. Manage / support project scope and objectives throughout the project lifecycle, as needed (e.g., revised scope definition, scope creep). Establish / implement / comply with change management processes to drive effective project execution
  • Project Financial and Quality Management: Assist in management of project budgets and ensure appropriate cost controls. Apply project life cycle methodology and tools (e.g., Capital Plan, Procore, Microsoft Project) to drive project quality. Assist in ensuring that all project deliverables are in compliance with applicable standards and regulations (e.g., design guidelines, AHJ, HIPAA, ADA, OSHPD).
