ABOUT THE JOB
The Business Unit Administrator assists the Business Unit Vice President in coordinating administrative duties between the division, business unit and leadership. This position also handles legal contracts and confidential employee relations matters.
WHAT YOUR DAY WILL LOOK LIKE
- Works with division leadership to disseminate and gather information.
- Processes and notarizes legal contracts as requested by the Business Unit Vice President.
- Manages meetings and conferences for the Vice President and Eastern Business Unit (EBU) team including hotels, RFP's, legal contract negotiations and all other aspects of meeting planning for up to 400+ attendees.
- Oversees the expense report review process for the EBU.
- Oversees performance reviews for all EBU administrative employees.
- Performs routine administrative duties.
- Assists with employee relations matters within the business unit.
- Codes and processes all EBU invoices and monthly credit card statements for payment.
- Oversees day-to-day administrative operations of the Columbia, SC division office including leading the administrative team.
- Manages and maintains office building/property including all maintenance and repair issues.
- May be required to operate a company vehicle.
- Provides excellent customer service to all internal and external customers.
- Other work-related duties as assigned by leader.
- Regular and reliable attendance is required.
- Follows all company policies and procedures.
EDUCATION & EXPERIENCE
- Bachelor's degree is required.
- Five years of related work experience or training is required.
- Five years of experience planning meetings with over 200 attendees is required.
- Experience may be considered in lieu of education.
SKILLS & QUALIFICATIONS
- Attention to detail.
- Organizational skills.
- Ability to handle confidential information.
- ADP and SharePoint experience is preferred.
- Ability to read, write and speak in English is required.
- Communicating in Spanish is a valuable skill at Helena.
- Valid U.S. driver's license is required to drive a company vehicle.
- Computer skills including proficiency with Microsoft Office.
Successful completion of a drug screen and background check is required for all positions at Helena.
WORK ENVIRONMENT AND PHYSICAL ASPECTS OF THE JOB
The work environment for this position is that of a typical office environment where the noise level is mostly quiet. This position requires you to use your hands for many different tasks and to talk, hear, walk, stand and sit. You may be occasionally required to lift or move up to 10 pounds.
