As the Administrative Assistant for Evonik’s Coating Additives (CAD) Americas team, you’ll support senior leaders, coordinate lab operations, and create a seamless, connected experience for colleagues and visitors.
This role blends executive-level administrative support with hands-on coordination for the lab environment, helping our team stay organized, productive, and focused on innovation. You’ll work closely with leaders, lab managers, and cross-functional teams across Allentown and beyond, shaping a supportive, high-performing workplace culture.
RESPONSIBILITIES
In this multifaceted role, you will:
Support CAD leadership: Provide daily administrative support to the VP & GM, CAD Americas, and the Sales Director, including calendar and inbox management, travel arrangements (Concur), and expense reporting.
Coordinate lab support functions: Serve as a key resource for lab managers and technical staff, ordering supplies, managing inventory, processing purchase orders (Ariba, SAP), and resolving invoice issues.
Manage site operations and visitors: Register and welcome visitors, arrange hotel and ground transportation (including international guests), issue badges, and support meeting logistics.
Plan meetings and events: Organize on-site and off-site meetings, trainings, and team-building events, coordinating space, catering, A/V, and travel as needed.
Lead onboarding and offboarding: Support employee transitions by coordinating workspace setup, introductions, systems access, uniforms, and business cards.
Update documentation: Maintain shared PowerPoint and Excel tools (org charts, cost center lists, training trackers, etc.) and draft professional correspondence such as customer letters and announcements.
Maintain purchasing and procurement accuracy: Track and process internal orders, manage parcel/procurement cards, and handle goods receipt and G/L coding in coordination with accounting and supply chain.
Uphold confidentiality: Manage sensitive business and personnel information with professionalism and discretion.
Partner across the site: Collaborate closely with other Administrative Assistants in Allentown for coverage, process consistency, and shared initiatives supporting the broader campus.
REQUIREMENTS
5+ years of administrative experience, ideally supporting a technical, R&D, or manufacturing environment highly preferred.
Associate or Bachelor’s degree, or equivalent experience.
Strong skills in Microsoft 365 (Outlook, Teams, SharePoint, Excel, PowerPoint).
Experience using SAP, Ariba, and Concur for purchasing, travel, and expense workflows.
Excellent organizational and time management skills, with the ability to manage shifting priorities and multiple stakeholders.
Clear communication and interpersonal skills across all levels; ability to work with leaders, lab staff, and global colleagues.
Proven ability to handle confidential information with care and integrity.
Service-oriented, tech-savvy, proactive, and calm under pressure.
Workstyle & Schedule: Core collaboration hub hours are from 9:00 a.m. - 3:00 p.m. with a flexible, typical schedule from 8:00 a.m. - 5:00 p.m. Primarily onsite to support daily lab and leadership operations, with flexibility for one remote day per week as site activity allows. Minimal trave
