As an Administrative Assistant III, you’ll play a key role in supporting the Logistics and Materials Management departments across UCLA Health. This is a high-impact position where your attention to detail, organizational skills, and analytical mindset will help keep essential operations running smoothly.
In this role, you’ll manage daily administrative tasks, assist department leadership, and support staff coordination. You’ll handle confidential information, track and analyze data, prepare reports, and support quality improvement efforts. You’ll also be responsible for processing and reconciling invoices, coordinating with Procurement and Accounts Payable, and ensuring timely monthly recharges.
This role includes a mix of administrative, financial, and project-based work, along with serving as the department’s main point of contact for incoming calls. - Capability of functioning in the role of an Administrative Assistant III.
- Proficient use of Inventory Control Automated database system
- Proficient use of computer software, UCLA financial systems and Microsoft Office.
- Ability to perform basic arithmetic calculations.
- Skills in organizing and maintaining computer files as well as general hard copy files.
- Skills in performing accurate record keeping.
- Strong critical thinking and problem-solving.
- Skills in dealing with all levels of management, staff, customers, and vendors.
- Excellent verbal and written communication skills.
- Consistently demonstrates a high degree of accuracy and attention to detail.
- Consistently adheres to Materials Management/Receiving and UCLA Health policies and procedures.
