General Description: Experienced medical assistant performing a variety of clinical and administrative functions to supervise and support patient care activities and perform all job duties and responsibilities of the surgery scheduler. This hybrid role requires a medical assistant with experience working in a fast pace clinical setting providing supervision of the day-to-day patient care activities and overall clinic flow. Organizational skills and the ability to effectively multi-task is essential. The priority duties and responsibilities on the day(s) surgeons are in clinic, is those of the surgery scheduler. On these days the Clinical Team Lead can assist to answer questions and direct next steps but will not be able to provide direct staffing coverage. Knowledge and understanding of the reporting matrix are essential to assist the staff serving in this role to ensure they can prioritize their job duties and responsibilities appropriately. ESSENTIAL JOB RESPONSIBILITES:
1. SURGERY SCHEDULING: Coordinates and schedules surgeries, follow-up appointments as designated by physicians. Coordinates processes and routines for all paperwork as required to meet physician and facility requirements. Books surgeries based on physician volume maintaining appropriate standard turn-around times. Complete insurance authorizations prior to surgery. Assures that all the appropriate clinical and insurance coding information is collected for the surgery schedule. Assures all surgeries are scheduled, surgical clearance and lab work is obtained responding timely to patient messages and requests. Ability to work independently on assigned tasks as well as to accept direction on given assignments. Ensure that all the required equipment is ready for surgery. Schedule diagnostic work preor post-operation.
2. CLINICAL TEAM LEAD: Provides guidance and direction to clinical staff to provide safe, efficient, and high-quality patient care. Must have good communication skills and support teamwork in the delivery of patient care as well as demonstrate customer relations consistent with the hospital’s purpose, vision, and values. in supervisory role to provide direct supervision and real-time redirection of staff performing patient care activities and/or high-level disinfection and sterilization. Available onsite to address clinical issues that happen unannounced to ensure timely review and determination of solutions and/or communicates up the clinical operations chain of command to get issues addressed timely. Able to prioritize tasks to ensure clinical concerns are addressed or communicated congruent with surgery scheduler duties and responsibilities being priority on the days surgeons are in clinic.
3. PATIENT CARE: Provides coverage within clinical staffing on days surgeons are not in clinic. All patient care tasks will be performed in congruence accordance to OCH policies and procedures and within regulatory compliance, and best practice.
4. CLERICAL FUNCTIONS: Understands and fully utilizes electronic medical records, Possession of strong organizational skills, answer phones, sending/receiving patient medical records, obtaining lab/x-ray reports, hospital notes, demographics, complete post op data entry. Strong knowledge of surgical procedures, medical terminology, knowledge of CPT codes, healthcare billing and authorizations. Strong computer skills and familiar with Excel, Word, and Windows.
5. ENVIRONMENTAL: Usual working space is well ventilated area and exam rooms. Requires standing, walking, turning, bending, stooping, and lifting patients. Direct patient care which requires both fine and gross motor skills. Also subject to exposure to bloodborne pathogens in patient care. May have occasional exposure to radiation during radiology procedures and to dangerous chemicals (cleaning and disinfecting agents, rarely chemotherapeutic agents). Environment may be stressful at times, therefore ability to work under stressful conditions is necessary.
6. ORGANIZATIONAL: Fulfills organizational requirements including respecting and promoting patient rights, responding to emergencies appropriate, identifying and addressing practice priorities, understands compliance and carries out activities
