Ravinia® is both North America’s longest-running not-for-profit music festival and its most artistically diverse. Over 100 different events by a mix of classical, rock, pop, jazz, R&B, indie, and country performers make up a typical summer season on our two open-air and two indoor stages. Each year the Chicago Symphony Orchestra is featured in six weeks of concerts, many with Chief Conductor Marin Alsop. Offstage and year-round, Ravinia’s Reach Teach Play education programs engage 75,000 children and adults—in schools with little to no music curriculum, in our Chicagoland communities, and at our 36-acre park—in our mission to make music equitably accessible to all.

During the same summer months, the Ravinia Steans Music Institute (RSMI) provides young professional classical and jazz musicians with career-advancing training and performance opportunities. Job Description

The Senior Coordinator for the Ravinia Steans Music Institute (RSMI) reports to the Director of RSMI and works collaboratively with the Assistant Director and Manager on the daily summer operations of RSMI, interfacing with RSMI faculty, fellows, and seasonal staff. Key responsibilities include administrative coordination of travel and scheduling logistics, including off-site concerts and donor events; providing team leadership for seasonal program assistants; and providing high-level artist hospitality to fellows, faculty, and visiting artists. The ideal candidate demonstrates extraordinary organizational skills and excels at building meaningful relationships with artists, staff, and vendors. A strong collaborator and team player who can prioritize is vital to the success of this position. The position keeps full-time hours at Ravinia during the summer season, including work during nights and weekends. 

Duties and Responsibilities:

  • In collaboration with Manager and Asst. Director, coordinate transportation and housing for RSMI faculty and fellows, including booking air travel, rental cars, hotels, and other accommodations
  • Coordinate instrument rentals, delivery, and tuning, as well as instrument repair for artists and performers
  • With Manager and Director, coordinate logistics for all auxiliary board outings and support Development team in planning and execution of donor events
  • Coordinate and support all off-site concerts, including transportation of artists, scheduling, and serving as main point of contact for venue
  • Lead production management of concert programs, including ensuring milestones are met and supporting Coordinators in creation of content
  • Lead and support food services (confirming catering orders, service set up and break down)
  • Coordinate with Manager and Artistic Department to support Ravinia Festival programming featuring RSMI artists 
  • Ensure effective Bennett Gordon Hall reservations for RSMI rehearsals and performances 
  • Lead coordination of complimentary ticket requests for RSMI artist for concerts across the Festival
  • Coordinate music library check-out system in collaboration with Coordinators, including dissemination of sheet music for concerts and master classes as necessary 
  • Provide administrative and customer service support to RSMI faculty and fellows
  • Support stage management for concerts and master classes as needed 

 

Qualifications

  • At least two years of experience in arts administration, artist management, or relevant experience in project management and/or hospitality
  • Working knowledge of classical and/or jazz music (repertoire, methods, instruments, etc.) is preferred
  • Demonstrated ability to work with efficiency and poise in stressful and intense situations
  • Strong organizational and problem-solving skills
  • Ability to work independently and collaboratively within a team environment
  • Must be able to drive and have an acceptable driving record.**

  • Record must be free of any violation for speeding in excess of 19 mph over the speed limit within the last 3 years
  • Record must be free of multiple speeding violations (of any severity) within the last 3 years
