T&E Compliance Associate
will be responsible for reviewing and examining financial records related to employee travel expenditures. This involves ensuring compliance with company policies, identifying discrepancies, and providing recommendations for improvement. Attention to details is crucial in this role. Escalating potential compliance violations when appropriate. This role will require close cooperation with the Global Shared Services Compliance team. Person in this position reports directly to the Global T&E Compliance Manager based in Warsaw, Poland. There are no direct reports to this position.
Specific Responsibilities:
- Performs daily operations related to T&E review of top management submitted expense reports making sure, that the costs are being fully compliant.
- Identify potential fraudulent behaviors.
- Ability to resolve expense queries and disputes independently.
- Accurately inform and document non-compliance instances to Line Manager.
- Collaborate with various stakeholders within the organization to obtain necessary information.
- Provide recommendations for any improvement in audit procedures or other activities
- Executes expense report audits, reviews, and analysis.
- Stay up to date with changes in regulations and ensure timely adjustments.
- Supports internal and external auditors during audits and other data inquiries.
Knowledge/Skills/Abilities:
- Experience and knowledge of Travel & Expense department.
- Knowledge and experience in using Concur (at least 1 year) and/or Oversight audit tool. SAP knowledge would be an asset.
- Curiosity and motivation to identify control and accesses gaps.
- Being proactive and communicating with the employees in case of missing information in time.
- Proven high performance (e.g. strong time management skills, ability to multitask, highly organized).
- Ability to effectively prioritize and complete key tasks and deliverables.
- Solid reporting capabilities.
- Strong verbal and written communication and interpersonal skills are required to document and communicate findings and interact with stakeholders.
- Proficient in Microsoft Excel and Word.
- Ability to identify complex issues which require further analysis and/or escalation.
- Proven control orientation based on prior operational business roles.
- High communication and teamwork skills.
Education/Experience:
- Minimum 1 – 2 years of experience in Travel & Expense area.
- Fluent English language skills, any additional language knowledge will be an advantage.
- Bachelor’s degree preferred in Business or the equivalent in experience.
