Job Summary: The Executive Assistant will be responsible for providing administrative support and assistance to a group of executive leaders. The ideal candidate will have exceptional organizational and communication skills, be proactive and able to work independently, and have strong time management skills.

Key Responsibilities:

  • Manage executives’ calendars, ensuring that all appointments and meetings are scheduled and organized efficiently.  Responsible for scheduling meeting spaces, food and beverage, technology, other room requirements, and handling any changes when required.
  • As required, handle incoming communications and correspondence, including emails, phone calls, and mail, and prioritize them accordingly.
  • Prepare and coordinate all materials needed for meetings and presentations, including agendas, reports, and presentations.
  • Assist with travel arrangements and logistics, including booking flights, accommodations, and ground transportation.
  • Coordinate and manage department projects and events, as assigned.
  • Monitor, collect, and submit executives’ expenses, ensuring that all expenses are accounted for accurately.
  • Collaborate closely with other members of the executive team, as well as external partners as required from time to time.
  • Acts as a gateway for requests including, donations/giveaways, community contributions or any other discretionary spending.
  • Schedules and communicates any activities having to do with the executive leadership team (ELT) or board.
  • Represent the executive across the business and externally with the utmost professionalism and confidentiality.
  • Partner with the division Chief of Staff on initiatives.

Qualifications:

  • Bachelor's degree in Business Administration, Communications, or equivalent relevant experience
  • Comprehensive prior experience (5-7 years) as an executive assistant, supporting a senior executive.  Experience supporting multiple senior executives simultaneously preferred.
  • Excellent communication and interpersonal skills. 
  • Experience developing thoughtful agendas and presentations, writing, reviewing, and editing executive-level correspondence.
  • Ability to interact with people at all levels of the organization.
  • Strong organizational and time management skills, with the ability to manage multiple priorities and deadlines effectively.
  • Strong attention to detail and ability to maintain a high level of accuracy.
  • Proficient in Microsoft Office suite and experience with other software and tools commonly used in an executive assistant role.
  • Ability to work independently and be proactive, with a strong sense of initiative.

The Executive Assistant will play a critical role in ensuring the success of the executives and the organization as a whole. The successful candidate will be able to handle the demands and expectations of busy executives, while maintaining a high level of professionalism and at all times, confidentiality.
