Construction Operations Assistant
The Construction Operations Assistant provides vital support to ensure the efficient operation of the Construction Operations division. They perform a variety of administrative tasks, including preparing contracts, closing out projects, account coding, organizing files, and supporting Construction Operations team with special projects as needed.
Essential Duties & Responsibilities
- Contract Preparation: Prepare contracts and construction management agreements using Microsoft Office or cloud-based programming. Follow through with execution via manual transmission or DocuSign and distribution of executed contracts.
- Project Close-Out: Send vendor notification of project close-out and follow up to ensure final documentation is received and bank accounts are closed.
- Vendor Management: Confirm current registration and approval within vendor management system.
- Document Preparation: Prepare, proofread, and edit documents, and reports as needed.
- Filing & Organization: Organize and maintain both physical and digital files, ensuring proper documentation and easy retrieval.
- Data Entry: Input and update data in company databases, systems, or spreadsheets with high attention to accuracy.
- Project Assistance: Support Construction Operations team with specific projects as needed.
- Travel Arrangements: Occasionally organize travel itineraries, including booking flights, accommodations, and transportation, as well as handling expense reports.
Education & Experience
- High school diploma or equivalent required; an associate or bachelor's degree is a plus.
- 1-3+ years of experience in an administrative or clerical role. Experience in specific industries (e.g., construction, legal, or finance) can be a plus.
- Excellent verbal and written communication skills to interact professionally with internal teams and external contacts.
- Strong ability to multitask and prioritize tasks efficiently in a fast-paced environment.
- High level of accuracy and attention to detail in completing tasks such as data entry, document review, and filing.
- Proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment (e.g., copiers, printers).
- Ability to manage multiple deadlines and complete tasks on time.
