Job Summary:

We are seeking a highly motivated Administrative Assistant to support our Philanthropies Business Group initiatives. 

This is an ideal opportunity for a detail-oriented professional looking to gain exposure to legal processes, compliance operations, and cross-functional collaboration. You’ll work closely with legal, HR, and operations professionals in a fast-paced, high-accountability environment, with opportunities to build foundational experience in law, process documentation, and data governance.

Key Responsibilities

  • Process high-volume immigration paperwork including printing, collating, copying, scanning, mailing, and distributing case files for timely submission.

  • Monitor shared inboxes and case queues to triage incoming cases, escalating urgent requests as appropriate.

  • Troubleshoot printing and filing issues to ensure continuity in paper-based operations.

  • Maintain accurate, real-time case status updates in a case management system.

  • Run reports from internal tools to track case progress and identify delays or data inconsistencies.

  • Conduct regular audits of case data and partner with stakeholders to correct any discrepancies.

  • Build and maintain process documentation using tools like OneNote.

  • Support special projects and ad-hoc tasks to improve operational efficiency.

  • Maintain a consistent, organized approach to repetitive daily, weekly, and monthly workflows.

Required Qualifications

  • Bachelor’s degree in any field.

  • Minimum 1+ years of experience working in a high-volume administrative, legal, HR, or operational role.

  • Proficiency in Microsoft Office Suite, including:

    • Outlook (calendar management and communication)

    • Excel (basic data functions and formatting)

    • Word (document processing)

    • Teams and OneNote (collaboration and documentation)

  • Excellent written and verbal communication skills.

  • Strong attention to detail, organizational skills, and critical thinking.

  • Demonstrated ability to prioritize tasks in a deadline-driven environment.

  • Ability to work 100% onsite in Redmond, WA.

  • May require ability to lift up to 20 lbs for printing and mailing tasks.

Preferred Qualifications

  • GPA of 3.5 or higher or academic distinction.

  • Experience navigating complex or ambiguous situations with minimal supervision.

  • Prior experience supporting legal, compliance, or immigration functions.

  • Familiarity with case management or ticketing systems.

  • Demonstrated ownership of process documentation and improvements
