About Staffbase

We inspire people to achieve great things together. Our mission is to help organizations unlock the power of inspirational communication with the first AI-native Employee Experience Platform. Our industry-leading and award-winning agentic AI communications channels - intranet, employee app and email solutions - create engaging experiences that connect and empower employees.

Headquartered in Chemnitz, Germany and New York City, with offices in Berlin, London, Sydney, Tokyo, Prague, and Minneapolis–St. Paul, our diverse team of 750+ employees supports 2,000+ customers—reaching over 16.4 million employees—in transforming their employee experience.
We are proud to be a Unicorn company—privately valued at over $1 billion—demonstrating strong growth, innovation, and lasting impact in our industry. Together, we’re shaping the future of workplace communication.

We’re looking for a proactive, autonomous, and solutions-oriented People Operations & Benefits Associate to join our Global People Shared Services team. You will be the primary engine for our 2026 transition to internal benefits, acting as a key partner to our People Business Partners (PXBPs) and the face of PX for our North American employees.

What you’ll be doing

Benefits Administration & Transition (70%)

  • Primary Point of Contact: Act as the "face of benefits" for North American employees, providing empathetic and timely support for all inquiries via our internal ticketing system (Zendesk)
  • Vendor & Advisor Liaison: Serve as the main operational link between Staffbase and our external partners, including benefits brokers, insurance carriers, and third-party administrators (TPAs)
  • The Big Move: Support the 2025/2026 U.S. benefits renewal and the end-to-end migration from our PEO to an internal PX-administered structure
  • Partner Collaboration: Work closely with external advisors to manage plan implementation, and the rollout of internal PX-administered benefits
  • Data Integrity & Systems Excellence: Act as the guardian of our people data in Workday, ensuring 100% accuracy during the migration from PEO systems and performing regular audits to maintain a "single source of truth"
  • Process Engineering: Document new workflows, manage complex data migration, and help implement our new internal vendor ecosystem
  • Compliance & Audit: Partner with external authorities and providers to ensure we stay ahead of ACA, COBRA, ERISA, and HIPAA regulations while keeping internal records audit-ready.
  • Employee Advocacy & Communication: Guide teammates through enrollments and life events while creating engaging FAQs and training materials that make complex benefits information easy to understand

People Experience Support (30%)

  • Lifecycle Administration: Handle all administrative and operational tasks within the PX organization that support the employee lifecycle. This includes drafting employment contracts and other documents while accurately processing employee data changes
  • Onboarding & Offboarding Owner: Drive the employee onboarding and orientation process to support employees from their first day, while also managing the offboarding experience to ensure a professional and supportive transition
  • PXBP Partnership: Actively support People Business Partners in all HR-related topics, providing the operational backbone for staffing and employee experience
  • Internal Customer Support: Manage incoming employee matters through our internal ticketing system (Zendesk) with a focus on empathy and business acumen
  • Payroll Coordination: Support the administration and preparation of payroll processes for the NA region on a regular basis, ensuring high attention to detail and data accuracy
  • Operational Optimization: Support process optimization and internal documentation to ensure our new internal model is scalable and efficient

What you need to be successful

  • Relevant Experience: 3–5 years in U.S. benefits administration and partnering, ideally within a tech, SaaS, or high-growth environment
  • External Liaison Skills: Proven experience working with brokers and external vendors, particularly through system transitions or offboarding from PEO platforms
  • System Connectivity: Experience with Workday, Zendesk, and benefits platforms (e.g., Employee Navigator), with a strong understanding of how these systems integrate
