Summary

Duties and Responsibilities: 

  1. Provide administrative, program, and general office support in the Information Technology Services Client Service and Operations Center group.
  2. Assist program and project managers with project administrative tasks, including but not limited to meetings, status and project reports, and presentations.
  3. Assist with collecting, processing, and providing preliminary analyses, summaries, and reporting of data used for planning, decision making, and policy purposes.
  4. Create, update, and maintain communication content for the broad University community and ITS employees across various media, including the public ITS website, the ITS employee Intranet, wiki spaces, and ITS-managed knowledge bases.
  5. Provide direction to student employees and create student schedules to meet operational requirements.
  6. Assist with logistics, coordination, and administrative support related to onboarding and offboarding CSOC student employees.
  7. Prepare and maintain documentation of operating procedures and practices.
  8. Other Duties As Assigned


Minimum Qualifications:

  1. Possession of a baccalaureate degree in Business Administration or related and 0 year(s) of progressively responsible professional experience with responsibilities for project coordination and/or program management in a service-oriented organization; or equivalent education/training or experience.
  2. Functional knowledge of principles, practices and techniques in the provision of support services and customer relationship management demonstrated by knowledge, understanding and ability to apply concepts, terminology.
  3. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with project coordination and/or program management.
  4. Demonstrated ability to recognize problems, identify possible causes and resolve the full range of problems that may commonly occur in the area of project coordination and/or program management.
  5. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  7. Demonstrated ability to operate a personal computer, and apply word processing software and utilize common productivity applications and the Internet.  
  8. Demonstrated ability to multitask and meet deadlines.
  9. Demonstrated ability to work with a broad range of constituents and peers.
  10. Demonstrated attention to detail.
  11. Experience managing communication to broad audiences across multiple media.
  12. Ability to work a flexible or variable schedule as required to support project or operational activities.
  13. Ability to accept and follow simple and complex instructions.


Desirable Qualifications: 

  1. Additional years of experience in project coordination/management or administrative services.
  2. Familiarity with software for web content management.
  3. Experience working with information technology organizations.
  4. Knowledge of the University of Hawaii and Information Technology Services organizational structure & services.
  5. Work experience in a higher education institution.
