About the role

This is a remote position.

Work Schedule: Monday to Friday 8:00am to 5:00pm Sydney Time with 1 hour unpaid break.

Job Type: Full-time


Responsibilities:
  • Manage all client communication throughout project lifecycle from pre-construction through completion
  • Prepare and send regular client reports and project updates
  • Chase and collect required documentation from clients, suppliers, and subcontractors
  • Process accounts payable by matching invoices to specific jobs, hours, and labor costs
  • Maintain accurate and up-to-date financial data for job costing and profitability tracking
  • Ensure all job documentation and compliance requirements are met including ITP checklists
  • Manage pre-construction documentation and processes to prevent delays
  • Coordinate with subcontractors and suppliers for scheduling and documentation
  • Maintain safety documentation, work diaries, and photo records for all projects
  • Handle general administrative tasks to support business operations
  • Respond to emails and communications in a timely, professional manner

Scopes:

  • Full administrative support for residential building projects from pre-construction through completion
  • Complete accounts payable management and job costing oversight
  • All client communication and relationship management during project lifecycle
  • Comprehensive compliance and documentation management for all active projects
  • Subcontractor and supplier coordination and communication
  • Pre-construction process management to ensure timely project starts
  • Financial data entry and maintenance for accurate profitability tracking
  • General business administration to support owner’s strategic focus
  • After-hours administrative work currently being done by the business owner
  • Support for business growth from current capacity to 4-6 quality projects annually


Requirements

  • Strong experience in construction administration or project coordination
  • Excellent written and verbal communication skills
  • Proficiency with construction management software and accounting systems
  • Understanding of Australian building industry processes and compliance requirements
  • Experience with accounts payable and job costing procedures
  • Strong organizational skills and attention to detail
  • Ability to work independently and manage multiple projects simultaneously
  • Knowledge of pre-construction processes and documentation requirements
  • Familiarity with safety compliance and documentation in construction
  • Proactive approach to problem-solving and communication
