POSITION SUMMARY:

The Accounts Payable (AP) Specialist plays a key role in ensuring efficient and accurate accounts payable operations, with a strong focus on supplier maintenance, credit card management, and compliance with IRS regulations. This position is responsible for vetting supplier data, managing supplier bank setups, ensuring 1099 compliance and electronic filings, and overseeing the corporate credit card program. The AP Specialist must apply best practices in supplier management while adhering to CFF policies and providing guidance to both internal stakeholders and suppliers. All responsibilities should be executed with professionalism, accuracy, and a commitment to excellent customer service. This is a hybrid role based in Bethesda, MD, and requires 2-3 days per week in the Bethesda office.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Monitor the supplier request email inbox, ensuring timely updates and maintenance of supplier records in the financial system.

  • Review and verify W-9 forms, W-8 forms, banking set up forms, confirm Tax ID numbers on the IRS website, and validate EFT details in the financial system.

  • Perform international wire verification through callbacks to foreign suppliers.

  • Ensure supplier bank setups comply with internal controls and industry best practices.

  • Process daily supplier setups, updates, and external committee member (ECM) records within the financial ERP system.

  • Maintain transaction timelines aligned with department service level agreements (SLAs).

  • Work closely with headquarters (HQ) business agents, field operations specialists, and suppliers to resolve discrepancies or obtain missing information.

  • Review the supplier reports and assist with the review and scrub of the supplier database on a regular cadence to ensure compliance and for fraud mitigation.

  • Manage the corporate credit card program, ensuring compliance with company policies and procedures.

  • Address credit card requests, inquiries, and issues in a timely and professional manner.

  • Utilize credit card management portals to process new card requests, limit adjustments, cancellations, and replacements.
