Description

ACC Management Group, Inc. is seeking a Lease-up Certification File Specialist for multiple properties in Dane County! This position will focus primarily on processing resident applications and certifications for new construction Section 42 lease-ups! The ideal candidate will have experience in Section 42 file processing and leasing.

Position Summary

To assist the Community Manager and team with the day-to-day operations of the property(s) that could include various administrative duties, day-to-day tasks relating to housing compliance for multiple apartment communities. This person will work closely with the Community Manger and Compliance Specialist to ensure all deadlines, goals, and expectations are being met.


Requirements

 

Essential Duties

  • Adhere to ACC Management Group guidelines and policies, federal and state qualification guidelines, resident selection criteria process, as well as all applicable government compliance programs.
  • Process and complete files related to Section 42, Section 8, Rural Development and other state and federal affordable housing programs with accuracy and ensure all verifications are completed.
  • Provide administrative support, including phone support, typing reports, filing, copying, faxing, and distribution of correspondence.
  • Process all paperwork in accordance with company policies and Fair Housing requirements for new applicants.
  • Work closely with Community Managers to ensure project and file compliance.
  • Use company software to assist site staff for accurate completion of tasks.
  • Ensure proper document labeling, uploading, organization and completion of documents and filing.
  • Work with Community Manager with responses to all investor requests for files which includes uploading files and making corrections needed. Cooperate with Compliance Specialist to send completed response summary along with all necessary documents being requested.
  • Effectively communicate property features and amenities to all prospects.
  • Answer questions to all prospects and potential applicants in a timely manner.
  • Respond and follow up to all interested applicants that apply on their eligibility status.
  • Complete on-site file audits to ensure files match what was approved by Compliance, organized and in proper ACC file order for 1st year file reviews by local and state agencies.
  • Maintain all resident files and any confidential information in a secured area in compliance with company policies and the fair housing law.
  • Greet all walk-in traffic during open office hours and attend to all needs, questions, or complaints.
  • Have all interested prospects fill out and complete the application.
  • Work with the Community Manager on processing all applications for eligibility status.
  • Coordinate and process all lease paperwork for all move in and move outs as needed.
  • Maintain strong resident relations while continuing to enact company and community policies.
  • Assist Community Manager in resident relations.
  • Record and document all resident correspondence as appropriate.
  • Understand, maintain, and stay up to date on assigned property(s) description and classification.
  • Maintain a current working knowledge and adhere to the fair housing laws, its policies, and practices, in accordance with ACC Management Group policies and procedures.
  • Other duties as assigned.

Knowledge, Skill & Ability Requirements

  • High School diploma or equivalent required.
  • Minimum of 2 years of affordable compliance experience required.
  • COS and/or HCCP certifications a plus.
  • Proficiency with computer software applications including OneSite, word processing, spreadsheets, database, and presentation software (MS Outlook, Word and Excel).
  • Maintain a valid driver’s license with acceptable driving record.
  • Flexibility with working hours during heavy certification and deadline period.
  • Ability to prioritize and possess efficient time management skills and work independently.
  • Demonstrates excellent verbal and written communication skills.
  • Goal-oriented, team player.
  • Exhibits a high degree of professionalism and respect through appearance and interactions with others.
  • Ability to lift to but not limited to 25 pounds unassisted and as needed.
