About the role

Overview

Independently perform a variety of administrative support duties, as well as a wide range of customer service-related duties in support of the Bariatric Surgery Program. Assume responsibility for the management of on-going projects and identify areas/systems in need of improvement and recommend/implement changes.

Responsibilities

  • Plans and hosts monthly informational seminars which includes managing provider schedules, coordinating facilities, publishing seminar information and scheduling attendees.
  • Schedules patients, manages calendars including the Bariatric Surgery Program outlook calendar, schedules surgical procedures, ancillaries, rotaries and coordinates deposition scheduling.
  • Serves as patient navigator and provides direct support to patients throughout the process to surgery and post-operatively.
  • Designs, analyzes and coordinates master meeting and other schedules.
  • Performs administrative tasks including managing patient information using appropriate computer systems; performs scheduling, referrals and checking in of patients; prepares, maintains, tracks and distributes patient charts, creates/types agenda and takes/types meeting minutes; performs transcription as needed; composes documents (letters, manuscripts, presentations, grants, etc.); creates forms and complex spreadsheets, tables, charts and slides; compiles and distribute reports and coordinates large mailings; and maintains program related inventory. Completes a variety of reports, forms, authorizations, pre-certifications and reimbursements and processes as appropriate.
  • Conducts literary searches and uses/provides information as appropriate.
  • Assumes responsibility for the coordination of on-going projects in support of the Bariatric Surgery Program. Collects and analyzes data and presents findings.
  • May train new staff members and direct/counsel/coach other employees, work study students, floats, temps and/or volunteers in support of the program.
  • Coordinates conferences/meetings and makes travel arrangements and coordinates outside speakers as appropriate.
  • Performs budget tracking and record keeping procedures. Addresses and resolves patient billing issues, as appropriate. Records intake of funds to bariatric surgery account, and provides input into budget preparation, if applicable. Maintains petty cash, collects money from patients and performs balancing and cash-out functions. Reviews billing sheets as appropriate.
  • Prepare grants and assists in the coordination of outside contracts, if applicable.
  • Performs other duties as required or assigned.
  • Qualifications

    • Associates degree with a minimum of 1 year of administrative support experience or the equivalent required.
    • Proven experience working with the public required.
    • Previous experience working in a medical setting preferred with knowledge of medical terminology preferred.
    • Experience with computer applications, specifically MS Office Suite including Word, Excel and Powerpoint required.
    • Ability to work independently as well as assess and manage multiple priorities simultaneously required.
    • Excellent communication and interpersonal skills required.
