Department: Resident Services Secretary
Location: St. Mary's Hospital
Hours Per Week: 37.5 Full Time
Schedule: Monday - Monday - Friday 8am to 4pm

SUMMARY: Provides resident care as required and general clerical support and organization to the department, through timely and well organized processes.
RESPONSIBILITIES:
- Assists with residents care as assigned.
- Responsible for organizational processes of the department, including the following: telephone triage, verbal and written communication, appointments and resident transportation, organizational calendars for such things as lab work, supplies to be ordered, etc.
- Assists leadership in interdepartmental communication such as obtaining test results, lab work results in a timely manner.
- Monitors physician schedules, consult appointments and other resident appointments.
- Maintains of when appointments are due.
- Notes and tracks physician orders.
- Oversees the clerical process of resident’s admission, discharge, ensuing proper identification of residents room, personal belongings and medical records.
- Participates in basic computer data input as directed in maintaining the electronic record.
- Responsible for filing and thinning of medical records as per protocol.
- Acts as a Receptionist, provides telecommunication coverage, acts as information desk for the department, relaying messages, etc.
- Oversees smooth information flow, including mail, photo copying, faxing and other unit communication in a timely manner.
- Maintains appropriate unit and resident medical records in compliance with Rochester Regional Health and Regulatory requirements.
- Other duties as assigned.
- LTC Only: Monitors and intercedes as indicated with the residents via the call light system or personal contact to answer needs of the residents either directly or by referring them to the appropriate staff in a timely manner.
- LTC Only: Monthly charting. Maintains appropriate unit and resident medical records in compliance with Rochester Regional Health and Regulatory requirements.
- LTC Only: Is trained in ICD 9 Coding and Medical Transcription.
- LTC Only: Uses the Vista Care computer system to facilitate accurate order transcription and tracking.
- LTC Only; Processing medical records to and from the Medical Record Department.
REQUIRED QUALIFICATIONS:
Certified Nursing Assistant
High School Diploma.
One year of clerical experience, preferably in Health Care.

It may be modified in the future and eligible for additional pay components. Pay is determined by factors including experience, relevant qualifications, specialty, internal equity, location, and contracts.
