This position will support Corporate Law and the Office of Sustainability within The Hartford’s Law Department. The Senior Administrative Assistant will provide administrative support to the Head of Corporate Law and Office of Sustainability and his teams, reporting to a Legal Operations Team Leader.
Responsibilities:
The ideal candidate will be proficient with PowerPoint, experienced with executive-level calendaring using appropriate prioritization and decision-making skills to resolve potential schedule conflicts, and skilled handling a wide range of administrative tasks.
- Effectively provide administrative support and manage a complex calendar for a leader of the Law SLT and his teams. This includes making/managing appointments, scheduling requests for meetings, travel, and using appropriate prioritization and decision-making skills to resolve potential schedule conflicts.
- Maintain a high level of confidentiality.
- Assist in preparing and managing PowerPoint presentations.
- Communicate effectively with internal and external constituents and on behalf of leader to all levels of staff.
- Meet deadlines, prioritize assignments, and multi-task in a fast-paced environment.
- Create materials for distribution to internal and external customers.
- Ensure timely submission of expense reports, in accordance with Company policy.
- Act as proxy for assigned leaders for Company and Law Department systems (expense reporting, Concur Travel, Coupa, Workday, etc.).
- Attend Law and Sustainability staff meetings, assist with the development of agendas, and provide updates for Law and Sustainability professionals about various administrative news and practices.
- Attend the Law AA Team huddles to meet peers and after learning the new role, participate in ongoing AA initiatives of interest.
- Complete other ad hoc duties or special projects as requested.
- Contribute to department events and meetings.
Qualifications:
- High school diploma required. Bachelor’s or Associate degree is preferred, but not necessary.
- 5+ years of experience supporting individuals in upper-level management preferred.
- Skilled and experienced with creating, editing, finalizing PowerPoint presentations.
- Excellent calendar management skills.
- Excellent written and verbal communication skills, proofreading, and grammar skills.
- Mature and sophisticated approach to information security, data privacy, and confidentiality with the utmost judgment and tact.
- Proficient with the MS Office suite of products (Microsoft Teams, Outlook, Word, Excel, etc.) along with the ability and willingness to quickly learn new internal systems and applications (Workday, Coupa, etc.).
- A team player with excellent interpersonal skills who enjoys working as a member of a collaborative team and with internal/external sources and across teams.
- Self-starter and forward thinker who actively seeks opportunities and is solution oriented.
- Must be detail-oriented and able to work on multiple assignments simultaneously.
- Proactive with strong organizational skills and can work independently with little or no supervision.
