GENERAL SUMMARY
Performs a wide variety of court functions in support of an assigned area within the Probate Court. Prepares and processes court documents required in setting cases for hearing and carrying out directions of the judge. Assists the public and attorneys in procedures relative to matters under the statutory jurisdiction of the Probate Court. Processes and reviews legal Court documents and forms for completion accuracy. Provides general clerical duties and customer service.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Assists attorneys and the general public in person and by telephone regarding the processing of Probate matters, and provides the appropriate information regarding the inquiry.
Reviews legal documents filed by attorneys and the public to ensure the documents meet statutory, court rule, and Probate Court Division procedural requirements for filing.
Reviews orders following court hearings and processes accordingly.
Types and processes casework reports and other correspondence from written copy.
Reviews case files to ensure that proper documents have been filed, and initiates the necessary action to see that files are in proper order.
Reviews case files at time of closing to ensure that files are complete and accurate, and initiates action to correct any deficiencies prior to closing.
Records any statistics which are required for the assigned area.
Performs cashiering functions, including but not limited to, the issuing of change and receipts. Counting money, balancing the register, receipts and disbursements. Preparing bank deposit slips and posting data to accounts.
Receives payment of statutory fees, prepares receipts, and prepares Transmittal Advice for the County Treasurer.
Receives checks and/or cash from the public in person or by mail and records amounts received.
Sorts and processes incoming mail and answers routine inquiries.
Copies and handles legal forms, orders, correspondence and reports as directed.
Maintains inventory of forms and supplies and reorders as needed.
Performs related duties as assigned.
QUALIFICATIONS
Required Education and Experience
- High school diploma or General Educational Development (GED) equivalent
- Two (2) years of clerical experience
Required Licenses or Certifications
- Possession of a valid Michigan driver’s license, operable automobile and insurance
Preferred Education and Experience
- Associate’s Degree or higher
- Previous experience within a court or legal setting

Knowledge of:
- Office practices, legal terminology and equipment
- Probate Court laws
- Microsoft Office, Google Products and current court case management systems
- Modern office procedures, methods and computer equipment
Skill in:

- Interpersonal skills necessary to develop and maintain effective and appropriate working relationships
- Performing a variety of tasks in a high volume and fast paced environment with frequent interruptions.
- Performing basic mathematical functions such as addition, subtraction, multiplication, division, percentages, and ratios
Ability to:
- Make decisions applying Probate Court rules
- Establish and maintain effective working relations with elected officials, administrators, department heads, staff, union officials and the public
- Effectively speak, write and understand the English language
- Effectively speak, write and understand a language other than English is preferred
- Understand and carry out oral and/or written instructions
- Accurately organize and maintain paper documents and electronic files
- Maintain the confidentiality of information
- Work independently
