Your Career
This role will report to the Senior Vice President (SVP) & General Manager (GM) of Product. The Senior Executive Assistant will be responsible for executive administrative duties, aligning with company priorities and managing executive staff.
We expect office-based employees to be in the office four days per week, with one day working from where they choose. We believe being together facilitates casual conversations and those magic moments where we can work on issues and ideas informally. These moments build capability and deepen trusted relationships and allow our people to feel safe in taking risks and being disruptive. Like so many companies, we are working through the details and things could change …. but in general if a role is deemed office-based we want our teams to be together four days per week.
Your Impact
- Strategically manage the SVP & GM’s calendar, special projects to streamline operations and planner of company and team initiatives - Support direct staff of SVP & GM on an ad-hoc basis
- Coordinate international travel arrangements, including flights, transportation, lodging and visa documentation if needed - Prepare and submit expense reports for SVP & GM while reviewing and approving direct staff expense reports, according to the company travel and expense policy
- Perform complex administrative tasks that involve, but are not limited to, being intune of team culture, advocate of maintaining a positive work environment and understanding of company procedures
- Drive and track executive-level team communication activities, such as (but not limited to) - Customer briefings, All Hands events, leadership meetings, and skip-level meetings
- Support the preparation of meeting agenda, presentations and team communications as needed
- Support staff meetings, recording of minutes, action items and maintaining documentation repositorie
- Collaborate with cross-functional teams from Go-to-Market, Executive Communications, IT VIP and C-level administration on key programs and maintain relationships to ensure leadership success
- Partner to support team well-being activities including volunteer activities, monthly events and project launches
- Comfortable with orchestrating and managing online, hybrid and in-person events plus large team meetings ranging from 10 - 1000 attendees (e.g., team dinners, leadership off sites, All Hands, and training)
- Manage and monitor team distribution lists and reporting structure changes on internal systems - Organize and track the team's space planning at headquarters
- Monitor and review team purchase orders, invoice reconciliation and team budgets - Ensure the team is aligned with company procedures
- Support systems, access, location and IT needs for managers and new employees reporting to the SVP & GM
- Responsible for ordering materials, catering, swag giveaways, and office supplies as needed
Qualifications
Your Experience
- Bachelor’s Degree (or equivalent work experience or equivalent military experience required) and 3+ years Executive Administrative Assistant experience - supporting Cloud Security executives and/or organization is a plus
- Proficiency in Google Suite, Slack and Zoom applications is critical
- Proven ability to always maintain a high level of integrity and confidentiality
- Excellent writing and communication skills, experience executing communications plans is preferred
- Exceptional organization, prioritization, multi-tasking and time management skills
- A proactive and assertive approach to managing tasks and responsibilities
- Ability to problem solve and think quickly under pressure
- Work effectively as a team player in a collaborative environment as well with EA peers and members of the greater organization
