What we do:
The Facilities Coordinator will be responsible for day-to-day site operations. This person will coordinate and monitor all site operations, including site communications, vendor management, space / utilization management and ensuring site is clean organized and follows safety regulations provided by EH&S. This role will interact daily with vendors and employees to maintain and help provide a professional workplace. The Facilities Coordinator reports to the Facilities Site Manager.
What you can do:
- This role required to work onsite Monday-Friday 8am-5pm (or 7am-4pm)
- Assist with back-up coverage for onsite receptionist
- Assist with inventory and order office supplies
- Support and assist with onsite large meetings and events with room/space preparation, set-up, and clean-up
- Assist with coordinating service contracts for day-to-day building operational functions such as: janitorial, security, maintenance/handyman repairs, AC hot/cold calls, office supplies, coffee/snack program, etc
- Assist with coordinating vendor management to have master service agreements with each supplier according to approved budget
- Assist and process new vendor set-ups, maintain vendor contact information and insurance
- Assist and process monthly, quarterly and / or annual purchase orders according to approved budget
- Assist with processing vendor invoices and reconcile against budget and with finance team
- Assist with aiding of forecasting budget expenses for existing temp and future buildings
- Assist with coordinating the onsite food & beverage program, maintaining inventory and processing vendor invoices
- Assist with coordinating site communications via slack, TEAMS and email distributions lists of site updates and announcements
- Submit tenant requests to building landlord where and when appropriate
- Receive space requests from R&D engineering teams to design and build out facilities
- Coordinate and assist with conference room set-ups for large events
- Coordinate and assist onsite employee events
- Complete weekly site walks to ensure space is managed, clean and organized by users and suppliers
- Assist with coordinate inter-office and project facility moves
- Provide a high level of customer service to all requesters (employees) and vendors
- Ensure an efficient timekeeping and scheduling system is in place to notify the relevant teams of upcoming site events

What you can contribute:
- High School Diploma
- A minimum of three (3) years of progressively responsible experience in Facilities Management
- Willingness to work outside of scope to support teams when necessary
- Experience working with and managing onsite vendors
- Customer Service oriented
- Excellent verbal and written communication skills
- Proactive delivery of communication and follow-up
- Excellent organizational skills and attention to detail
- Must have the ability to independently prioritize and accomplish work within time constraints
- Self-motivated and forward-thinking personality
You may also be able to contribute:
- Associate degree/college coursework or equivalent work experience
- Skilled in Facilities, Property Management and or Construction preferred
