Operations Supervisor (Mon-Fri 8:00am-4:30pm)

Description

 The Operations Supervisor will oversee and manage quality assurance processes, inventory control, and cross-departmental collaboration to ensure product quality and operational efficiency. Key responsibilities include implementing and maintaining quality assurance systems, monitoring compliance with industry standards (GMP), optimizing inventory levels, and supervising production and warehouse teams. This role involves managing Odoo ERP system updates, training staff on quality procedures, and ensuring timely vendor deliveries. The supervisor will also collaborate with sales, marketing, and vendors to resolve quality issues, improve processes, and support client needs. 

Requirements

•  Develop, implement, and maintain quality assurance processes and systems to ensure product excellence.
• Collaborate with cross-functional teams (Marketing, Sales, Warehouse) to resolve quality issues and enhance product quality.
• Update and maintain quality-related documentation, reports, and records.
• Optimize inventory levels by analyzing sales trends and placing purchase orders (PO) to minimize product overlap.
• Review current sales performance of individual products and submit POs based on an 8-10 month sell-through forecast.
• Monitor adherence to Good Manufacturing Practices (GMP) and other relevant industry standards.
• Ensure vendors provide accurate and complete documentation for incoming products, addressing any discrepancies.
•  Conduct training sessions for employees on quality assurance procedures and regulatory compliance.
• Add, maintain, and update product information and variants in the Odoo ERP system to ensure proper categorization and product flow.
• Supervise production and warehouse teams, ensuring full coverage and efficient operations within the department. 
• Oversee Odoo system modifications, including testing in a staging environment before live rollout.
• Identify opportunities for process improvements within production and warehouse operations, implementing changes to enhance efficiency and compliance.
• Assist sales and marketing teams in obtaining necessary quality documentation for new and existing clients. 
• Collaborate with new customers on product quality, production capabilities, and label compliance requirements.
• Follow up with vendors to ensure timely delivery of orders, in line with agreed-upon turnaround times.
• Process returns, credit notes, and accounting adjustments in Odoo as required. 

Qualifications:

• Bachelor's degree in Business, Operations Management, Supply Chain, or a related field.
•  Proven experience in quality assurance, operations management, or supply chain roles. 
• Strong understanding of Good Manufacturing Practices (GMP) and industry regulations.
• Proficiency with Odoo ERP system or similar enterprise resource planning software.
• Excellent problem-solving skills with the ability to analyze data and implement process improvements.
•  Strong organizational skills with attention to detail and the ability to manage multiple priorities.
• Effective communication and interpersonal skills for cross-departmental collaboration.
• Experience in inventory management, including demand forecasting and order placement.
• Ability to train and mentor staff on quality assurance procedures and compliance.
• Knowledge of production processes and warehouse operations.
•  Familiarity with vendor management and negotiating terms related to quality documentation and deliveries.
•  Ability to adapt to changing priorities and work in a fast-paced environment.
