JOB SUMMARY
The Program Manager for Ambulatory Facilities supports the efforts for planning, directing, coordinating and improving projects for Duke Health Integrated Practice (DHIP) and Duke Health. Responsibilities include supporting multiple projects, overseeing the maintenance, operation, and safety of all DHIP facilities, ensuring they are compliant with all relevant regulations and standards. This role ensures the efficient and effective use of resources to maintain a safe, clean, and functional environment for patients, staff, and visitors.
The Program Manager skillfully navigates and coordinates the wide array of tasks and responsibilities required to successfully oversee the day-to-day operations and maintenance of DHIP facilities, managing capital equipment, and coordinating vendor relationships. This role ensures that all facilities are maintained to the highest standards of safety, functionality, and efficiency while supporting the company's long-term strategic goals.
This position includes a high level of collaboration and support with various consultants as well as clinic leadership and providers to incorporate operational functionality of all newly designed and renovation projects. Initiating effective communications that support open dialogue, engagement and encouragement is a key component of this role. This role requires strong leadership, organizational, and communication skills to coordinate cross-functional teams and manage resources effectively.
JOB DUTIES AND RESPONSIBILITIES
- Support the efforts of construction and continuously consult with Quality, Safety and Accreditation to ensure that materials and methods used are following established safety, regulatory and compliance standards and specifications and ensure projects meet occupancy readiness requirements.
- Review and assess capital equipment requests from departments. Obtain quotes from suppliers and vendors for capital equipment.
- Work with Procurement on negotiating pricing and terms with vendors to ensure competitive and cost-effective procurement.
- Manage the approval process for capital equipment acquisitions. Present capital equipment proposals to senior management for approval.
- Collaborate with Duke Health departments including Quality, Safety and Accreditation, Infection Control, Life Safety, Security, Environment of Care (EOC), Health System Facility Planning, Engineering and Operations.

Oversee all current DHIP facilities to maintain standards and address issues.

Serve as a point of contact for all facilities matters and train on-site leadership to resolve appropriate issues and escalate matters as needed. Ensure compliance with health, safety, and environmental regulations.

Coordinate effort and manage external relationships with vendors.

Establish and maintain strong relationships with vendors, contractors, and service providers.

Work with Procurement on contracts and service agreements to secure competitive pricing and high-quality services.

Monitor vendor performance and address any issues or concerns promptly.
