The Admin and Engagement Coordinator works closely with plant leadership and with the HR team on various aspects including creative engagement, payroll and various human resources functions. The Coordinator is responsible for administrative functions including payroll, event coordination and engaging internal and external communications (including digital and social media communications).
Core Responsibilities:
- Coordinates the plant’s employee engagement programs and celebrations including service awards, holiday parties, company picnic, United Way, Colgate Live Better, safety, and other celebrations/events.
- Exercises creative thinking to input into a core storytelling strategy for internal and external communication.
- Supports the site's digital engagement strategy (including Facebook, Instagram, Linkedin, OurColgate, and digital newsletters). Tells the plant’s story and engages employees.
- Oversees plant payroll. Responsible for processing bi-weekly payroll including collecting and reviewing time cards for accuracy, discrepancy resolution, importing data to Corporate, and reporting as needed.
- Supports the recruitment process for all new hires including Recruiting Management System tracking, coordination of employee physical and drug screens, employee record creation, and scheduling of new hire orientation process.
- Monitors the employee call-in line and tracking (absences, emergency vacation, Short Term Disability, FMLA, etc...), makes related updates to the time database management system, and conducts monthly audits of work leaves.
- Coordinates logistics of plant calendars, training events, schedules meetings, including the preparation of meeting agendas and meeting minutes.
- Maintains the budget for office supplies and places office supply orders for the plant.
- Recommends, designs, and schedules plant-wide internal communications which includes bulletin board postings, mailings, internal job openings, and other communications.
- Provides assistance to team members with system accesses SAP, bonus data, and payroll records.
- Provides administrative and organizational support to the Plant Manager and HR Business Partner acting as a liaison between plant leadership and internal/external contacts while maintaining highly confidential information and discretion at all times.
- All other duties as assigned.
Basic Qualifications:
- High School diploma or equivalent required
- 2+ years of experience in a HR, Communications, or Administrative role
- Very strong working knowledge of Microsoft Excel and Google Suite
Additional Qualifications:
- Bachelor’s or Associate's degree highly preferred
- Administrative knowledge of social media platforms
- Strong interpersonal and communication skills (written and verbal)
- Maintains a high level of confidentiality
- Highly organized and detail oriented
Compensation and Benefits
Pay is based on multiple non-discriminatory, individualized factors including but not limited to experience, job-related knowledge and education, skills and office/market location. In addition to base salary, salaried employees are eligible for annual discretionary bonuses, profit-sharing and, for Executive-level (salary grade 16 and above) roles only, long-term incentives in the form of Restricted Stock Units and/or Stock Options.
