Summary
The Administrative Services Manager - Fleet is to oversee all purchasing request for all vehicles, equipment, and services. This position also creates specifications, scope of work, and all documents for request for purchase agreements. Keeps managers informed of budget and maintains budgetary reports. This position also maintains and keeps all purchasing contracts and cooperatives current. This position requires you to attend council meetings for all items related to purchasing.
The men and women in Metro’s General Services Department are there to make sure the rest of government works. From ensuring that our city’s vehicles run safely and smoothly, to keeping city buildings up to par to providing printing services and more, General Services is the support that allows other Metro departments to focus and achieve their missions.
Examples of duties
- Works with all department fleet coordinators creating vehicle and equipment specifications.
- Works with Purchasing on all procurements such as service contracts and vehicle and equipment contracts.
- Performs any combination of administrative or financial duties in assigned department
- Prepares and manages project schedules and budgets.
- Participates in program planning for department.
- May represent agency at meetings.
- Assists in developing and evaluating departmental policies, procedures, rules, regulations, and work methods.
- Formulates long and short-range goals, objectives, and operating efficiencies
- Evaluates programs regularly to ensure efficiency and consistency with department goals and policies.
- Confers with Division Manager or Assistant Director and recommends changes for improving operational effectiveness.
- May perform supervisory duties.
- Administers personnel policies and makes recommendations for disciplinary action.
- May assign and review work.
- Evaluates employee performance.
- Counsels with and corrects employees as needed. Approves leave requests.
- Manages general administrative services of a department
- Provides Division Manager or Assistant Director with data to assist with planning and decision making.
- Directs preparation of administrative, financial, special report.
- Assists with developing, preparing justification, presenting, and monitoring the annual budget.
- Coordinates budget and personnel functions for department
- Oversees budget management and reporting.
- May manage grant funds including contracts and budgets.
- Coordinates/ manages and tracks financial activities of department.
- Oversees preparation of statistical and financial reports.
- Performs mor complex types of financial and statistical analysis.
- Troubleshoots unusual situations on an as needed basis.
- Works on special projects, prepares and presents reports as assigned.
- Keeps Division Manager or Assistant Director informed of personnel and fiscal matters.
Qualifications
EDUCATION AND EXPERIENCEBachelor's Degree plus five (5) years of professional experience in an administrative, financial, technical, or related field.

LICENSES REQUIRED: Valid Driver License
