We are seeking a highly organized and proactive Executive Assistant to support our two Vice Presidents for global aftersales as well as global customer and digital experience and their executive leadership teams
The ideal candidate will have exceptional administrative, organizational and communication skills, the ability to multitask in a fast-paced, international environment, and a keen attention to detail. This role is crucial to ensuring the smooth operation of our executive functions and enhancing the productivity of our leadership team. This position supports various senior leaders with responsibilities including managing calendars, preparing agendas, documenting and sharing notes of meetings, coordination of contract approval processes, making travel arrangements, administering virtual meetings, organizing face to face meetings and preparing expense reports.
The incumbent is fully responsible for representation of the Vice Presidents and their team towards internal customers at all levels as well as external customers and dealers. In addition to these tasks the incumbent will also be responsible for some project-based activities and/or tools.
Your Impact

Comprehensive Diary & Travel Management: Proactively manage complex calendars for executive leaders, ensuring efficient scheduling of internal/external meetings, appointments, and events across time zones. Organize and book all travel arrangements (airplane, train, rental cars, hotels) in compliance with AGCO Travel Policy, ensuring accurate itineraries in Outlook and managing associated expenses.

Expert Meeting & Event Coordination: Arrange and manage all aspects of meetings, including room, hotel, and transportation bookings, and catering. Send timely invitations and agendas, consolidate presentations, and coordinate various events as required.

Streamlined General Administration: Manage document signatures contracts via DocuSign or email, ensuring compliance storage. Produce purchase orders and payment requests according to AGCO Policies, maintain budget tracking summaries, and implement efficient filing systems for Vice Presidents.

Confidentiality & Delegation: Handle highly confidential information with discretion. Manage approval of travel expenses and vacation requests as delegated by the Vice President.

Dynamic & Adaptable Support: Provide adaptable support across all administrative functions, with the ability to manage a diverse range of tasks that may evolve based on business needs.
Your Experience and Qualifications

3+ years’ experience in an administrative support role.

Experience working in an international company at an executive support level.

Knowledge of office management best practices and procedures, incl. managing virtual meetings. Business fluency in English is a must, any additional language skills beneficial. Proficient in Microsoft Office product suite (Outlook, Teams, Word, Excel, PowerPoint).

Minimum of 3 years’ previous working experience in a multinational organization as a management assistant. Secretarial skills and experience required

Experienced user level of Outlook, MS Word, Excel, PowerPoint and MS Teams.
