We have an exciting opportunity for a full-time After Market Spare Parts Coordinator at our Tonawanda, NY location. This is an Onsite full-time hourly (nonexempt) position that will report directly to the Aftermarket Spare Parts Manager. The schedule will be Monday through Friday from 8am-4:30pm with an unpaid 30-minute lunch. This role is responsible for the coordination of quotations and parts sales activities, as well as the execution of various administrative tasks, to support the Aftermarket group. This role is very dynamic and will require the incumbent to learn multiple product lines and be able to support various internal brands. There is always something to learn!
What you’ll do:
- Serve as the primary customer service point of contact for all spare parts.
- Accurately enter customer purchase orders into the company’s order processing or ERP system.
- Provide information to customers regarding status of orders and simple product inquiries.
- Expedite customer orders when promised dates will not be met.
- Provide pricing, lead times, product availability, and specifications to customers.
- Request quotations from sub vendors for best internal cost and to maximize lead times.
- Keep all orders and quoted related documents digitally organized and filed.
- Completing all customer shipping documentation.
- Obtaining shipping releases and instructions from the customer.
- Working with the warehouse shipping department to ensure all customer shipping requirements are met.
- Communicating with the customer tracking numbers and shipping status as well as responding to questions and concerns.
- Initiating invoicing procedures with the accounting department.
- Performs other duties as assigned.
Requirements
What you’re required to have:
- 2-year degree required but will consider experience in lieu of education.
- 1-year administrative experience including Microsoft office suite.
- Aftermarket sales experience a plus but not required.
- Strong customer service skills - maintaining a customer-focused perspective in all activities to ensure that customer needs are successfully met.
- Knowledge of shipping and logistic processes is a plus.
- Be strongly skilled in organization, planning, problem-solving and customer service.
- Able to multitask and handle multiple duties and responsibilities simultaneously with frequent interruptions.
- Self-motivated and can work with limited supervision.
