As an Executive Administrative Assistant within Global Communications and Corporate Marketing (GCCM), you will be part of the GCCM Operations team and a network of peer Executive Administrative Assistants. In this role, you will provide day-to-day administrative support for three Vice Presidents on the GCCM Leadership Team, report to the GCCM Chief of Staff, and be based at the Operational Headquarters (OHQ) in Fridley, MN.

A successful candidate will demonstrate attention to detail, thoroughness, time management, effective prioritization, sound judgment, and the ability to anticipate needs in a fast-paced environment.

Responsibilities may include the following and other duties may be assigned.

  • Provide executive administrative support using judgment and knowledge to prioritize meetings, manage calendars, maintain schedules and anticipate administrative needs for GCCM Vice Presidents.

  • Coordinate logistics for regular and periodic meetings, including preparing agendas, capturing meeting minutes, tracking actions, supporting content preparation. May include arranging catering, confirming AV setup, and booking venues.

  • Coordinate travel, submit and process expense reports, order supplies, and support day-to-day administrative needs.

  • Process purchase orders, invoices, and contracts, including helping route materials through appropriate approval processes.

  • Provide administrative support for functional projects, programs, special assignments, and non-routine team needs.

  • Work independently with little guidance on administrative responsibilities, anticipating next steps, taking initiative, exercising discretion, and using sound judgment.

  • Provide technology support for presentations and Microsoft Teams meetings, including setup, coordination, and troubleshooting as needed.

  • Assist with onboarding new direct staff members and support the overall extended team onboarding program.

  • Has high degree of initiative providing project or program support to sub-functional groups within GCCM.

  • Identify process improvements and recommend ways to improve systems, processes, and communications within the scope of the role.

Must Have: Minimum Requirements

Requires minimum of 6 years of relevant experience.

Nice to Have

  • Ability to partner & collaborate across various teams and build relationships

  • Strong project management and meeting coordination skills

  • Expert working knowledge of Microsoft Office suite, including PowerPoint, Word, Excel, Outlook, and Microsoft Teams

  • Advanced Microsoft Teams skills, including support for meetings, presentations, and follow-up coordination

  • Proven experience supporting projects and multitasking several priorities, projects, and resources

  • Ability to thrive in a dynamic team environment and professionally handle interruptions

  • Experience working with confidential and trusted information

  • High degree of self-initiative and ability to quickly learn to handle a wide range of projects, tasks, and issues in original ways

  • Strong influence and communication skills with all levels of an organization and external business contacts

For Baccalaureate degrees earned outside of the United States, a degree that satisfies the requirements of 8 C.F.R. § 214.2(h)(4)(iii)(A) is required.
