Summary
The Executive Assistant provides high-level administrative and coordination support to the Executive team, ensuring the day to day run smoothly and efficiently. This role manages complex calendars, meetings, prepares materials and correspondence, coordinates cross-functional priorities and tracks key deadlines and executive initiatives to ensure timely follow-through. Serving as a central point of organization and communication, the Executive Assistant helps prioritize requests and maintain alignment across teams and workflows using strong judgement and ownership. The ideal candidate is proactive, highly organized, detail-oriented and thrives in a fast-paced environment where priorities shift quickly.
Duties and Responsibilities
- Act as a central point of organization for incoming requests, ensuring priorities are aligned with executive objectives.
- Anticipate needs and proactively address scheduling, documentation, or communication gaps.
- Exercise sound judgment and discretion when handling confidential and sensitive information.
- Manage complex and dynamic executive calendars, including scheduling across time zones, coordinating internal and external meetings, prioritizing requests, and resolving conflicts.
- Attend meetings as needed to capture notes, track action items, and ensure timely follow-up.
- Serve as a liaison between executives and internal/external stakeholders to ensure clear and professional communication, including but not limited to; drafting and editing correspondence, communications, agendas and other documents on behalf of executives.
- Monitor executive initiatives and cross-functional deliverables, ensuring deadlines are met and related documentation is organized and up to date.
- Coordinate cross-functional meetings, recurring leadership sessions, offsites, and strategic planning events, including agenda preparation, materials, note-taking, and tracking action items to ensure timely follow-through.
- Serve as a central liaison between executives and internal/external stakeholders, ensuring communication is professional, aligned, and efficiently managed to support team alignment and information flow.
- Support special projects as needed — ranging from event planning and logistics to process improvement initiatives and cross-functional coordination.

Qualifications

- Highly organized, proactive, and solutions-oriented; able to anticipate needs and remove roadblocks before they arise
- Comfortable working independently and taking ownership in a fast-paced, evolving environment.
- Experience supporting operational workflows, internal documentation, or business process improvements strongly preferred.
- Proven ability to man
