Job Description

This Executive Assistant position offers an exciting opportunity to become the organizational backbone of a thriving construction company. You’ll serve as the critical link between leadership, subcontractors, and clients, ensuring seamless communication and project coordination. This role combines traditional executive support with construction industry exposure, making it perfect for someone looking to grow their career in a specialized field. Responsibilities

  • Manage and organize daily email correspondence with clients, subcontractors, and stakeholders
  • Coordinate the distribution of quotes and construction plans to subcontractors
  • Monitor all incoming communications and flag important correspondence for immediate attention
  • Track payment schedules and ensure timely payment processing
  • Respond professionally to project requests and client inquiries
  • Follow up on submitted quotes and proposals to maximize conversion opportunitie
  • Liaise with the Quantity Surveyor and facilitate information flow between team members
  • Maintain organized project tracking systems to ensure nothing falls through the cracks
  • Chase up on outstanding quotes and missing project information
  • Provide strategic input on potential CRM system implementation and selection
  • Keep multiple construction projects on track through proactive coordination
  • Support business growth initiatives by freeing up leadership time for strategic activities
Requirements
  • Proven experience in administrative support or executive assistance roles
  • Exceptional email management and organizational capabilities
  • Strong written communication skills with attention to detail
  • Ability to work effectively during UK business hours (9 AM - 5 PM English time)
  • Proactive approach to follow-up and project management
