ESSENTIAL DUTIES AND RESPONSIBILITIES

Under the general supervision of the Director, the Assistant Director for the Home Delivered Meals Program is responsible for the daily program operations as well as coordination of services with the designated Case Management agencies. Specific duties and responsibilities include:

Supervise the homebound meal operations both at the main site and at the satellite site.
Supervise    the two coordinators at the main site and the Fleet Manager to ensure that routes are maintained and vehicle maintenance is up to date.
Develop home delivered meal routes, including monitoring and adjustment of routes in order to assure the delivery of meals in compliance with program guidelines.
Ensure the maintenance of the route sheets including that they are legible.
Review route assignments along with coordinators and delivers to discuss any issues and ensure that they are properly filled out.
Schedule route staffing and replacements in consultation with Fleet Manager and Director of Home Delivered Meals.
Interact directly with seniors, staff, volunteers, and program vendors.
Prepare unit reports and logs to back up the data base.
Responsible for reviewing and approving the time cards of MOW Drivers, Deliverers, , Coordinators, Fleet Manager, Customer Service Liaison and any Floaters that may have worked in the MOW Program within the pay period.
Coordinate with Drivers and Deliverers in the field to handle emergencies or issues as they arise.
Supervise Coordinators r in entry of route sheet data into program and funding source worksheets and data base as well as ensuring entry is done on timely basis.
Report and coordinate with Case Management staff of external Case Management Agencies regarding daily delivery and coordination of client services.
Accept referrals from the Case Management Agencies for the main site and indicate changes to the meal delivery plan; provide back up to the Satellite Manager and input initial meal preference into the program data base.
Ensure program Managers and Coordinators maintain logs related to referrals from Case Management Agencies and conduct periodic audit to ascertain accuracy of records.
Oversee Coordinators and Satellite Manager’s documentation of client database documenting any client contact, case coordination, service changes or contact with case management regarding client status, change in service or client concerns.
Along with Bookkeeper and/or designated staff person, maintain accurate records of contribution receipts.
Forecast meals needed from the catering subcontractors.
Prepare orders to the caterer. and updatei daily incoming delivery.
Prepare the daily food order for kitchen staff at the main site for hot meal preparation including alternative meals and vegetarian meals as requested along with the Director.
Work with director in program planning and development.
Assist in holiday or emergency planning to ensure meal delivery to clients.
Along with the Director, oversee the completion of necessary compliance standards as designated by DFTA i.e.: monthly test meals, incident logs, complaints logs, client surveys, etc.
Ensure that staff are following necessary protocols and consult any issues leading to or needing disciplinary actions with Program Director.
Serve as backup to MOW Coordinators when necessary.
Supervise the Send out client choice menus and ensure they are entered in the client data base.
Other duties as assigned by program management.

 

Supervisory Responsibilities

Supervise the two coordinators at the main site and the Fleet Manager.
Provide leadership and direction to direct reports to ensure the delivery of high performance, acting as an enthusiastic, positive and motivated coach.
Along with the Director is responsible for the performance management of the teams to ensure that quality and deadlines are achieved and maintained and that any issues are managed in line with RiseBoro policies, procedures and guidelines.
Ensure teams are appropriately staffed at all times.
Assist the Director in training programs for new staff and identify training needs for current staff.
