Property Summary
Holmead Apartments is a 100-unit building in the Columbia Heights (Ward 1) neighborhood of Washington, DC. The community contains studio apartments, one-bedrooms, and a few two-bedroom units, as well as some underground parking spaces. Holmead is in a prime location with the Columbia Heights Metro Station only 0.4 miles away, along with several bus lines, a Giant grocery store, and many retail establishments nearby.
Job Summary
The Assistant Community Manager plays a key role in keeping the residential community running smoothly, providing both administrative and managerial support. This role is ideal for someone who’s highly organized, efficient, and solution-driven—someone who thrives in a fast-paced environment where no two days are the same. From handling calls and scheduling appointments to welcoming residents and prospective tenants, this person knows how to stay on top of the details while keeping the bigger picture in mind.
Requirements
Essential Functions
• Prepare apartment leases and lease renewal documents
• Conduct resident and prospective resident interviews
• Assist with developing maintenance work schedules
• Conduct site inspections of grounds, common areas and apartments
• Assist Relocation Coordinator, residents, and other staff with relocation of residents during property renovation
• Initiate background checks and application verifications for potential residents
• Perform move in/move out inspections
• Investigate and resolve resident complaints
• Maintain rent rolls, reconcile resident accounts and prepare vacancy reports
• Assist with apartment turnover procedures
• Assist with rent collection and collecting delinquent rents
• Prepare daily bank deposits
• Assist with preparation and delivery of all correspondence to residents (rent changes, terminations)
• Maintain positive and professional relationships with residents
• Ensure consistent application of property policies
• Assist with inventory of all equipment and supplies and issuing purchase orders
• Assist with maintaining vendor files
• Assist in submitting completed purchase orders and invoices for payment
• Assist with maintaining and updating waiting lists
• Prepare verification forms, Section 8 vouchers and adjustments, payment authorization forms
• Submit subsidy billings to appropriate agencies
• Assist with preparation of income certifications in accordance with IRS Code
• Maintain current knowledge of federal, state, and local housing authority regulations and requirements applicable to specific managed properties
• Train or guide the work of other team members on occasion
• Perform other duties as assigned
Required Knowledge, Skills, Abilities
• Proficient with Microsoft Office Suite
• Able to add, subtract, multiply and perform basic math calculations
• Proficient with property management software (we use Real Page OneSite)
• Professional and friendly demeanor, with the ability to communicate well in person, over the phone and in writing
• Able to work on several projects simultaneously, maintaining timeliness and accuracy
• Able to work independently and collaboratively, anticipate problems, and implement effective solutions
• Attention to detail
Required Education, Certifications/ Licenses, Related Experience
• Diploma or GED required
• Two years of property management or related experience
• Relevant certifications for property mana
