Position Summary

The Business Manager performs multiple business administrative tasks and relays business knowledge both operationally and financially within the Department of Pediatrics. This position works under the Director of Administrative Operations.

Duties & Responsibilities

  • Approves and ensures compliance with University guidelines and proper documentation of all departmental expenses in Emburse.
  • Collaborates and acts as a liaison to outside vendors, agencies, administrators, including submitting purchase orders.  
  • Collaborates and implements policies and or procedures based on recommendations from Department leadership, including compliance tracking for departmental meeting attendance and required University trainings.
  • Administrative support for Associate chair leadership structure including business planning, financial planning, scheduling of events/meetings.
  • Serves as the Committee Coordinator on the Department of Pediatrics Promotion and Tenure Advisory Committee, supports all functions of the promotional process including the education of faculty and support staff.
  • Ensures compliance with University norms and serves as a liaison between the Committee and faculty that are up for promotion including determining what needs modified or added.
  • Investigates and interprets personal statements, scholarly work, and various other required data points included in a promotional packet.
  • Answers inquiries and resolves problems for the Department.
  • Assist Director of Administrative Operations with business related project management including coordination, communication and monitoring timelines & progress.  
  • Coordinates with immigration all visa inquiries and or submissions.
  • Handles all of the Department’s credentialing with OSF Healthcare, as well as serves as the subject matter expert for license renewals.
  • Advises and drafts all offer letters to faculty and other academic professional hiring and adheres to institutional regulations on start dates.  
  • Supervision of administrative staff including office support specialist, office manager, office administrator, and Medical Education Program Specialist. This includes ongoing training, yearly performance evaluations, and staff development.
  • Perform other related duties, represents the department at meetings as requested and participate in special projects as assigned.
  • Minimum Qualifications

    Bachelor’s degree in accountancy, business administration, management, or a closely related field.

    1. Three (3) years (36 months) of work experience in accounting, business administration, fiscal management, or closely related experience.
    2. A combination of such education and/or work experience totaling three (3) years (36 months), as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • 60 semester hours or an Associate’s Degree equals eighteen months (18 months)
      • 90 semester hours equals
