About the role

The Operations Specialist – Legal, performs a wide variety of analytical and operational duties in support of the legal department. The Operations Specialist will complete tasks, including but not limited to, preparing materials, scheduling, supporting interdepartmental interactions, providing support on legal matters, and administering legal systems.

What You Will Do:

  • Responsible for performing a wide variety of analytical and operational duties in support of the department. 
    • Assist with the preparation of materials, scheduling, and supporting inter-departmental interactions.
    • Provide support on legal matters and administer legal systems. 
  • Lead administrator for matter management. 
  • Assist with processing of vendor invoices, enforce billing protocols, and develop related procedures for the Legal Department. 
  • Maintain and update databases. 
  • Assists with preparing presentation materials. 
  • Develop and maintain relationships with internal customers and key stakeholders.
  • Communicate effectively with team members and stakeholders to ensure alignment.
  • Ensure compliance with company policies and regulations.
  • Keeps abreast of relevant and potentially useful PC business applications and attends training courses as needed. 
  • Develop sound knowledge of company operations necessary to identify, meet, and anticipate the needs of the department’s clients. 
  • Performs other duties as requested by the legal department.

What You Will Need:

Education and Experience

  • Bachelor’s degree or equivalent experience required
  • 4+ years of relevant experience 

Knowledge, Skills, and Abilities

  • Ability to actively listen to the needs of our clients by receiving shared information, determining the context of the information provided, assessing the information both qualitatively and quantitatively, and communicating these findings to management.  
  • Demonstrates a firm understanding of the business and implements opportunities for enhancing effectiveness and efficiencies
  • Knowledge of legal terminology
  • Excellent oral and written communication skills
  • Ability to prioritize workload and effectively meet deadlines 
  • Must be a self-starter and have strong organizational skills
  • Physically able to handle department files and storage boxes
  • High level of attention to detail and accuracy
  • Able to openly accept change as part of business evolution to meet the needs of our clients and support it by serving as a change agent within the team   
  • Advanced knowledge and skills in the use of office automation software, which may include spreadsheet or database applications (e.g., entity management, matter management, e-billing, and litigation hold), word processing, and presentation applications.  Ability to learn additional programs as required. 
  • Understands key performance indicators and their significance to the business
  • Must have strong interpersonal skills and the ability to deal with all levels of employees and outside clients in a professional and business-like manner. 
  • Must take responsibility for actions, behaviors, decisions, and results
  • Must understand assigned responsibilities and hold self and team members accountable for keeping commitments and high standards
  • Must be dependable and consistent 
  • Ability to demonstrate independent, objective, open-minded thinking with strong attention to detail and sound judgment
  • Must actively participate in daily activities 
  • Demonstrate a basic level of time management skills.  
  • Working knowledge of the ABS Health, Safety, Quality, and Environmental Management System.

Reporting Relationships:

Reports to a manager, director, or executive-level position.
