Fleet & General Services Specialist

JOB SUMMARY:
This role is responsible for supporting the General Services department with developing and maintaining the department’s budget, administering the company’s executive and pool vehicle programs, overseeing the vendor relationships.
ESSENTIAL DUITES AND RESPONSIBILITIES:
Supports the Corporate Services department with various responsibilities.
Maintains the department budget, tracking monthly expenses and maintains fixed assets for the company executive and pool vehicles and pool.
Assists executive company vehicle program; communicating with the executive, obtaining pricing based on fleet pricing, submitting requisitions in Oracle to obtain purchase orders, completing all necessary paperwork to purchase vehicles, coordinating delivery, adding them to company insurance, reporting accidents to risk management, providing tax dept with annual mileage for taxable income and assisting other NA locations with purchasing vehicles.
Supports vendor relationships with the dealerships, auto repair centers, cafeteria, specialty coffee machine, coffee on campus, fitness center, company store, and company cell phones. If service/maintenance is needed, coordinates with the appropriate vendor.
Responds timely to associates questions/issues and provides support as to what department that can assist them
Supports the planning and execution of associate events.
QUALIFICATIONS:
1+ years of experience in fleet management, administrative/general services, operations support or related field
Associate’s degree in business administration, logistics, or related field (Bachelor's degree preferred)
Experience in coordinating vehicle maintenance, compliance, and vendor relationships.
Experience working in budget management in a corporate setting
Skilled in managing documentation, contracts, and reporting for fleet and administrative operations
SKILLS AND ABILITIES:
Demonstrated problem solving skills
Strong communication and interpersonal skills for vendor and internal team coordination
Demonstrated ability to foster and maintain relationships with an ability to work as part of a cross functional team
Demonstrates a high level of accuracy, even under pressure
Proficiency in Microsoft Office products such as Word, Excel and PowerPoint

Annual Salary: $68,000 - $85,000
