About the role

The Department of Internal Medicine is the largest and most complex Department in the Morsani College of Medicine, with over 26 Divisions, Programs, and Centers/Institutes, total human resources in excess of 1,000, and an annual all-source budget in excess of $143,000,000. The Department's ongoing growth includes the restructuring of Cardiovascular Sciences from a separate Department to a Division, support of the microbiome initiative, and the execution of clinical, research, and education initiatives focused on COVID-19 and emerging infectious diseases. The mission of the Department is to rank among the elite in the nation in the areas of education, research, and patient care. The Department provides education and training for a diverse group of medical students, residents, fellows, and health personnel from USF and throughout the world.

The Department's research activities are numerous and involve both basic and clinical research activities in all subspecialties of Internal Medicine. Our NIH funding has been in excess of $120 million over the past three years. Patient care occurs in our affiliated hospitals (including Tampa General Hospital, H Lee Moffitt Cancer Center and Research Institute, James A Haley VA Hospital, and Florida Hospital), as well as our state-of-the-art ambulatory health care centers. The Department also provides healthcare support and services via contractual arrangements with many diverse organizations. The US News & World Report's recent rankings of our subspecialties include Nephrology at 18, Gastroenterology at 24, and Primary Care at 67. The Department's faculty represent a group of dedicated physicians that are well-recognized as leaders in all three mission areas.

The Department of Internal Medicine is seeking a qualified, motivated individual to join our team as a Senior Medical Education Specialist. This position will help manage ACGME-accredited and non-standard fellowship training programs within the Morsani College of Medicine, Department of Internal Medicine, and will collaborate with the lead Fellowship Program Administrator and Program Directors to ensure compliance with accreditation standards, the Office of Graduate Medical Education and the University's policies. This position reports to the Assistant Director of Fellowship Programs, who oversees all Fellowship Programs within the Department of Internal Medicine.

Senior Administration. Serves as the lead administrator for operational and financial activities for multiple educational programs. Ensures the operational tasks, duties, projects and deliverables are in compliance with state, university, UMSA, ACGME and other applicable compliance agency rules and regulations in support of the divisions' educational success. Interpret ACGME requirements, USF GME policies and procedures, USF policies as applicable, and develops program policies and procedures and offers guidance based on external requirements. Act as a liaison between the Program Director, residents/fellows, GME Office, participating sites, and other departments. Preparing documentation and reports to facilitate Program Evaluation Committee & Clinical Competency Committee Meetings; Co-Creation of program policies and keeping up to date with any revisions; Assist in Onboarding: Prepare documents for internal orientations (if applicable) & training schedule for incomings, ensure reminders are sent for ordering lab coats; and Conference Logistics.

Lead programs GME Budgets and ensures accurate billing. With a comprehensive understanding of GME Education funds guidelines, works with Program Director(s) to determine appropriate expenditures for given academic year, inclusive of each fellows allotment (if any) communicates this information to fellows. Seeks approval for purchases, travel, and payments to vendors. Prepares all documents and packets for reimbursement or payment to send for processing. Reconciles budget monthly/as needed. Reviews schedules monthly in New Innovations to ensure accuracy for billing affiliates.

Lead in recruitment. Coordinate and plan with program directors interview dates, faculty interviewers, and interview session agendas. Manage ERAS PDWS applications, CSV reports, etc. Manage Thalamus recruitment scheduling software. Ensure correct NRMP quotas by deadline and submit rank list and ensure PD logs in to certify rank list.

ACGME-Related & Other Educational Support: Maintain electronic records per ACGME and legal compliance standards; Resident & Faculty Surveys Management (track completion rates and send emails from the system for access, obtain reports); Assistance with Program Letters of Agreement. Manages Website Updates: updating dates, photos, changes in program, etc. Manages visiting learners (fellows, residents, students, observers: Manage process & communication with residents).
