Given that this role serves as the primary point of contact for visitors, faculty, students, and potential donors, it is crucial for us to have a representative consistently present at the front office. In light of these requirements, the individual would be expected to be present in the office Monday through Friday. While we can offer flexibility regarding the specific hours, they must fall within standard business hours. Additionally, we would consider occasional work-from-home requests on a case-by-case basis.

Purpose

The Senior Course Scheduler serves as the front office receptionist for the Linguistics Department and manages course scheduling and course inventory for Linguistics and American Sign Language (ASL) courses. They also handle the departmental website and social media accounts and office supplies and equipment purchasing. 

Job Responsibilities

  • Provide general administrative support for department faculty and staff. Process inventory self-tagging when required. Assist Department Manager with annual inventory. Handle inventory surplus equipment.  

  • Room scheduling for meetings and special events. Initiate work orders. Create fliers for student events and attend table events for information purposes.  

  • Serve as purchasing contact for department. Process purchasing requests using purchase orders, the UT Market system, or ProCard as appropriate. Follow all university, college, and department procurement procedures. Coordinate with Central Business Services Office to process voucher and entertainment payments.  

  • Maintain departmental website and social media accounts. Advertise events/courses on RLP screens.  

  • Serve as front desk receptionist. Greet department visitors, answer phones, answer or refer general inquiries, distribute mail.  

  • Coordinate department colloquium series: schedule and publicize events, arrange travel arrangements and reimbursements for guest speakers, and arrange receptions following colloquia. Assist with event planning for other department events as needed.  

  • Coordinate ASL program: manage registration, field inquiries, and coordinate applications for transcripted minor in ASL.  

  •  Coordinate other course-related activities: assign faculty through FaSet, request course instructor surveys, manage registration for ASL courses, coordinate textbook orders, oversee grade reporting, solicit and submit requests for final exams, and post syllabi in university database.  

  • Coordinate course scheduling and course inventory for Linguistics and ASL courses.  

  • Other related functions as assigned 

 

Required Qualifications 

Bachelor’s degree and at least one year of administrative work experience. Experience in course scheduling. Excellent customer service, time management and organizational skills. Professional demeanor, good judgment in dealing with others of varying backgrounds and personalities. Proficient in computer app
