Job Description
The Senior Associate - Talent Operations is responsible for supporting the day-to-day operations of the Talent team within the Publicis Groupe’s Digital Experience pillar. This role reports into the Director – Talent Operations and will operate both independently and collaboratively to develop and improve processes and procedures, manage and report data contained with the HRIS/ATS, guide and counsel employees regarding compliance and adherence to process, and troubleshoot and resolve various issues related to TA processes, procedures, and systems.
PLEASE NOTE: Candidates local to the Chicago metro area are strongly preferred and some onsite work will be required.
Responsibilities:
- Accountable for deliverables within project workstreams, independently managing deliverables while meeting specified deadlines.
- Partner with Talent Operations leaders to establish new functionalities across the pillar, including auditing, documenting, and standardizing processes across agencies.
- Create, maintain, and distribute daily, weekly, monthly, and quarterly pillar reporting, as needed and validated by leadership.
- Participate in regular “all-hands” calls to create a sense of community, communicate performance status, and address questions.
- Evaluate requests and partner closely with recruiters and leaders to initiate, negotiate and close new partnerships with external staffing agencies, when approved.
- Participate in monthly USMS Talent Acquisition and Compliance meetings, disseminate relevant information to Talent leads, Resource Management and Talent Acquisition teams.
- Present and support Talent Acquisition-related compliance updates to the Talent Acquisition and Resource Management communities, including, but not limited to: Pay Transparency, data entry and updates in HRIS/ATS, NDAs, referral process, and FLSA status questions.
- Own management of data integrity audits with Agency HR and Resource Management related to employees’ FLSA and commutable status.
- Provide compliance training and lead “office hours” to new and existing members of Resource Management and Talent Acquisition to streamline tools, policies, and operations.
- Work closely with Talent Operations and Resource Management to support the proper engagement of internal and external temporary/freelance workers (internal & external) including the definition, evolution, and improvement of related process.
- Oversee internal checks and balances process of pillar temporary workforce engagement to ensure compliance with internal policy and minimize risk.
Qualifications
- 3+ years of prior experience working within or alongside the talent acquisition function, preferably with a focus on operations or project management.
- Very strong Excel, data management, and reporting skills, including the ability to use pivot tables and V/H/XLOOKUPs to build dashboards.
- Experience building, maintaining, and presenting project documentation including trackers, spreadsheets, plans, roadmaps, etc.
- Highly collaborative but also comfortable working autonomously and independently to own and resolve problems as they arise.
- Outstanding communication and interpersonal skills with an ability to effectively and efficiently organize and convey complex information.
- Tactful, thoughtful, and consultative; comfortable having challenging conversations with peers and managers to troubleshoot, work through, and resolve issues regarding process, systems, compliance, etc.
- Comfortable leading virtual trainings, team calls, and meetings.
- A natural problem solver with strong critical thinking skills.
- Outstanding organizational skills and attention to detail with an ability to balance competing priorities.
- Proactive, adaptable, and flexible with a strong work ethic
- Comfortable partnering with internal and external legal, HR, and compliance teams to support contract negotiations, process/procedure improvements and updates, and other changes as needed.
