ROLE OVERVIEW Pivot Energy is seeking a motivated and organized Assistant Project Manager to support our West Project Managers in various technical and administrative tasks. The Assistant Project Manager will contribute to our projects' success by ensuring efficient operations, maintaining organized documentation, and facilitating seamless communication among stakeholders. The position requires an understanding of the construction business, safety compliance, and the ability to work under deadlines. Strong problem-solving abilities are a must to deal with inevitable shifts in project scope, schedule, and other elements of the project lifecycle. Expectations are focused on managing budgets, schedules, documents, and data rooms while maintaining a high level of communication both internally and with the various external stakeholders. PRIMARY RESPONSIBILITIES
- Help progress projects through development workflow under the direction of the EPC Operations Manager
- Support the organization and review of contracts in an internal document library
- Support Project Managers by organizing and managing Outside Engineer review of documents required for EPC contract milestones
- Interface with vendors and subcontractors
- Support Project Managers with monitoring subcontractor construction progress on a regular basis, reinforcing safety and quality with subcontractors and addressing any issues that arise during construction
- Support Project Managers by attending and taking notes on EPC and other stakeholder communications
- Assist the preconstruction department in developing project estimates and schedules during the sales process
- Initiate close-out procedures and prepare close-out documents
- Work alongside the Finance Team to prepare EPC-specific documents and checklist items necessary for investor lending events
- Perform procurement activities, such as quoting and creating purchase orders, and sometimes coordinate logistics of material purchases arriving at project sites
- Attend and provide support on all contractor and utility scheduled meetings
- Maintain internal and external data rooms
- Monitor and track schedule changes and flag issues on scheduled milestones
- Travel to sites as necessary
REQUIRED COMPETENCIES
- 2+ years related solar ground mount or construction management experience
- 2+ years total professional experience
- Proven working experience in project management; knowledge in construction means and methods
- Understanding of basic site diligence documents to ensure the EPC scope accurately captures the site constraints, including Geotech, ESAs, permits, interconnect agreements & land-use agreements
- Strong communication skills – both written and verbal
- Strong organizational skills in large-volume environments
- Working knowledge of scheduling concepts such as CPM, Gantt charts, etc.
- Working knowledge of spreadsheets, word processing, and scheduling software
PREFERRED COMPETENCIES
- Solar project development and/or construction exposure
- Basic knowledge of Procore or basic project management information systems that track project deliverables and schedules
- Basic knowledge of construction lending and project financing
- Basic knowledge of MSProject preferred
- OSHA 30 is a preferred
