About the role

1. Assist with data collection and entry for quality improvement metrics,

  • Accurately gather, validate, and input clinical and operational data related to patient outcomes, infection rates, readmission rates, and other performance indicators into electronic databases or quality tracking systems.
  • Collaborate with clinical teams to ensure timely and complete documentation aligned with regulatory standards and organizational benchmarks.
  • Support root cause analysis and performance trend identification by maintaining organized records and assisting in generating reports for quality improvement initiatives and committee reviews.

2. Maintain tracking tools and generate reports for performance indicators.

  • Regularly update and monitor spreadsheets, dashboards, and electronic systems used to track key performance indicators (KPIs) such as patient safety events, clinical compliance, and process improvement metrics.
  • Ensure data integrity and accuracy through routine audits and validation procedures.
  • Utilize tools such as Excel, EHR analytics, or quality management software to visualize trends and identify opportunities for performance enhancement.

3. Support documentation efforts for audits and regulatory surveys.

  • Assist in organizing and maintaining accurate records, policies, and quality improvement documentation required for internal audits, state inspections, and other regulatory reviews.
  • Collaborate with department leads to compile evidence of compliance with regulatory standards, including infection control practices, safety protocols, and patient care documentation.
  • Prepare audit-ready files and support mock survey activities by ensuring availability and accessibility of required documentation.
  • Track and follow up on corrective action plans and improvement initiatives identified during audits to ensure timely resolution and compliance.

 4. Coordinate logistics for employee health programs and wellness initiatives.

  • Collaborate with occupational health and HR to ensure proper staffing, supplies, and adherence to privacy and safety protocols.
  • Organize and schedule employee health screenings, immunization clinics, and wellness activities.
  • Track participation, collect feedback, and assist in evaluating program effectiveness to support ongoing improvement and alignment with organizational goals.

5. Track immunization and screening compliance (no administration)

  • Monitor and maintain up-to-date records of employee immunizations and required health screenings in accordance with organizational policies and regulatory guidelines.
  • Utilize electronic health records, HR systems, or tracking databases to document compliance status and generate reports for leadership and regulatory purposes.
  • Send reminders and follow-up communications to staff regarding upcoming or overdue requirements to ensure timely compliance.
  • Collaborate with occupational health or infection control teams to reconcile data discrepancies and support audit readiness.

6. Provide administrative support for student onboarding and occupational health recordkeeping.

  • Coordinate the collection, review, and organization of required documentation for student onboarding, including immunization records, background checks, CPR certification, and confidentiality agreements.
  • Maintain secure and confidential occupational health files for students in compliance with HIPAA and institutional policies.
  • Communicate with academic institutions, clinical educators, and students to ensure timely submission of required documentation and resolution of incomplete or missing records.

7. Support educational materials distribution for workplace safety and wellness.

  • Assist in the development, organization, and dissemination of educational materials related to workplace safety protocols, infection prevention, ergonomics, stress management, and overall employee wellness.
  • Distribute printed and digital resources through internal communication channels such as email newsletters, bulletin boards, intranet postings, and staff meetings.
  • Collaborate with departments such as Infection Control, Employee Health, and Human Resources to ensure materials are current, evidence-based, and aligned with regulatory guidelines and organizational goals.
  • Track distribution efforts and gather feedback to evaluate the effectiveness of materials in promoting staff awareness and compliance.

8. Performs other duties as assigned.
