Description

POSITION SUMMARY 

Under general supervision, provides support in recording, elections, and motor vehicle transactions and provides exceptional customer service. Acts as a strategic advisor to the Clerk and Recorder. 


DUTIES AND RESPONSIBILITIES

General Duties and Responsibilities

· Provide backup assistance to office staff as needed.

· Perform various clerical tasks including information collection, typing, photocopying, scanning, filing, mail collection and distribution, and assist the public with research.

· Occasionally travel to attend conferences, possibly overnight.

Motor Vehicle Department

· Process motor vehicle transactions including title processing, in-person, phone, and online registration renewals, and processing of special mobile equipment.

· Balance daily receipts, assist in preparing deposits, and prepare daily figures.

· Prepare end-of-day and end-of-month closing on General Accounting Program.

· Maintain inventories of equipment and assist with motor vehicle inventory.

Elections Department

· Obtain the state-required certification for elections within 6 months.

· Pass an annual Colorado Bureau of Investigation (CBI).

· Maintain inventories of election equipment and order office supplies.

· Assist with preparations and conducts of elections. Daily data entry, election judges scheduling and training, and set up vote center. Work additional overtime hours during an active election.

Recording Department

· Detail-oriented data entry for property transactions.

· Assist the public with researching recorded documents.

· Balance daily receipts, assist in preparing deposits, and prepare daily figures.

· Issue and examine marriage licenses.

· Receive land survey and plat maps and provide copies of such maps and surveys to the public.


Requirements

EDUCATION, EXPERIENCE AND QUALIFICATIONS

  • A High School Diploma or GED is required.
  • Some elections experience is preferred.
  • One year of customer service, clerical, or administrative experience is required.
  • Ability to meet continuing education requirements set by the State, County, and Clerk & Recorder’s Office.
  • Produces written correspondence that is appropriate for the intended audience.
  • Excellent analytical, reasoning, and troubleshooting abilities.
  • Ability to create, evaluate, and improve business processes. 
  • Maintains proficient skill levels in most current Microsoft Office Suite, including Outlook, Word, and Excel. 
  • Ability to work individually or in a team environment. 
  • Lead and direct temporary election workers

PHYSICAL WORK ENVIRONMENT

  • Work is generally performed in an office setting.
  • Travel to meetings, conferences, classes, and other activities may be required.
  • This position requires standing, stooping, sitting, bending, and lifting up to 50 pounds. 

WORK SCHEDULE

  • Monday – Thursday 7:30 a.m. –  5:00 p.m.
  • Overtime is required during specific periods of an election cycle.

ADDITIONAL REQUIREMENTS

  • Must possess and maintain a valid Colorado Driver’s License and acceptable motor vehicle record.
  • Must be able to pass a criminal background check.
